Responsibilities
- Receives and accurately directs incoming phone calls with energy and professionalism
- Ensures phone calls are redirected accordingly
- Greets and directs clients and other visitors in a courteous and timely manner
- May update and distribute office phone directory as needed
- Maintains the appearance and atmosphere of the lobby in a neat, professional and attractive manner at all times
- May sort mail deliveries and other administrative tasks in support of office operations
- May assist in scheduling and organizing activities such as meetings, travel, conferences and interviews
- May assist in desktop publishing activities for correspondence and presentations
- May maintain parking records and collection of parking cards as needed
- Directs couriers and deliveries
- Provides administrative support as directed
- High school education; college level preferred
- Typically with 1 years of related experience
- Experience in MS Office Suite preferred, including Outlook, Word, Excel, PowerPoint and Teams
- Experience in switchboard/reception work
- Ability to communicate in a clear, concise and professional manner both verbally and in writing
- Ability to proactively problem solve and collaborate on innovative solutions
- Ability to work in team environment
- Ability to work on multiple projects at the same time and ability to prioritize, to juggle multiple calls and guests at one time and make each feel their needs are being well handled
- Ability to effectively meet deadlines at expected quality
