Key Responsibilities:
- Administrative Support:
- Assist property managers with day-to-day operations, including tenant and owner communications, document preparation, and scheduling.
- Maintain and organize property records, lease agreements, and compliance documents.
- Prepare and distribute notices, meeting agendas, and minutes for Board of Directors meetings.

Tenant and Owner Relations:
- Respond promptly to tenant and owner inquiries, addressing concerns and escalating issues when necessary.
- Coordinate maintenance requests and ensure timely resolution of tenant issues.
- Assist in onboarding new tenants and owners, including providing welcome materials and orientation.

Financial and Operational Assistance:
- Process invoices, track expenses, and prepare reports for property managers and Board review.
- Assist in monitoring budgets, tracking variances, and recommending cost-effective solutions.
- Support property inspections by documenting findings and ensuring follow-up on action items.

Vendor Coordination:
- Communicate with vendors and service providers to schedule and oversee property maintenance and repairs.
- Ensure vendor contracts and insurance requirements are up to date.

Compliance and Reporting:
- Ensure compliance with local, state, and federal regulations, including housing and safety standards.
- Support the preparation of annual reports, audits, and budget planning.
Qualifications:
- Education: Bachelor's degree preferred, or equivalent work experience in property management or a related field.
- Experience: 1-3 years of administrative or property management experience, preferably in residential real estate.

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and property management software (e.g., Yardi, AppFolio).
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills.
