Overview
We are seeking a dedicated and detail-oriented Delivery Dispatcher to join our dynamic team. The ideal candidate will play a crucial role in coordinating fuel deliveries to our customer, ensuring timely delivery of freight, and maintaining effective communication across various departments. This position requires a strong understanding of the marketing area and the ability to utilize technology to optimize operations.
Duties to include, but not limited to:
DAILY
- Prepare Driver Routes
- Upload and process mobile tablet batches and deposits
- Constant communication with drivers throughout day
- Answer phones and general customer service duties
- Enter credit card payments for customer service
- Maintain Degree Day information in back office system
- Process Credit Card batches at end of day
- Balance cash drawer vs. sales for over-the-counter sales
- Scan Bills of Laden to corporate office for oil and propane purchases for processing
- Maintain and communicate service agreements for metered customers
- Set up pre-buy and stress free payment contracts with customers during appropriate time of year.
- Process take over requests from competitors
- Review daily after-hours service and delivery requests and go over all with technicians and enter information into customer accounts on back office system.
- Email delivery tickets to various commercial accounts after deliveries are complete
- Maintain Salesforce system for new customer inquiries and email leads to sales personnel
- Process Energy Assistance delivery request, fax completed delivery information to Energy Assistance Offices as needed
- Consult with Branch Manager about pricing inquiries from customers
- Communicate each day's events with the dispatch team and coordinate vehicle repair with fleet mechanics
- Contact customers on expired credit card account information or on failed processing. Update appropriate information on customer accounts
WEEKLY
- Prepare weekly ticket batch for coming week
- Rebill deliveries that require adjustments
- Bill out and prepare deposit for cash sales account
MONTHLY
- Renew Minimum Use Contracts
Qualifications
- Proven experience in delivery dispatch or a similar role within the logistics industry.
- Familiarity with GIS and GPS systems is highly desirable.
- Strong understanding of freight operations and shipping/receiving processes.
- Excellent communication skills, both verbal and written, with the ability to effectively interact with various stakeholders.
- Proficiency in using technology for fleet management and transportation tracking.
- Ability to type efficiently for data entry tasks related to shipment documentation.
- Strong problem-solving skills with a keen attention to detail.
