What You'll Do
- Scheduling & Dispatch: Coordinate and dispatch preventative maintenance schedules for service technicians. Review and maintain accurate technician work schedules.
- Service Operations & Customer Support: Act as the primary contact for incoming service department phone calls and online inquiries, delivering professional and optimal customer service. Create work orders and process invoices for the Service Department and Allied operations. Prepare and follow up on client service quotes, negotiating terms that best align with client needs. Manage warranty claims, ensuring timely processing and resolution.
- Reporting & Continuous Improvement: Generate and analyze department reports to assess progress toward goals and develop improvement strategies. Work closely with Service teams to identify and implement operational efficiencies. Stay current with changing technologies and industry trends.
- Safety & Compliance: Comply with all OSHA and site-specific safety and PPE requirements. Ensure a safe working environment by upholding safety protocols and promoting a safety-first culture among all employees.
- Travel: Attend off-site meetings and training sessions as needed to support business operations and professional development.

Qualifications: To perform this job successfully, the Equipment Service Coordinator must be able to perform each essential duty satisfactorily. The following requirements are representative of the minimum knowledge, skill and ability required.
Education/Experience:
- Effective communication and interpersonal skills, with the ability to build rapport.
- Commitment to promoting a positive workplace and safety-first culture.
- Proven experience in customer service and service coordinator, preferably in the material handling industry or related field.
- Strong understanding of customer relationship management principles and service coordination best practices.
- Ability to work independently and as part of a team, with a result-driven mindset.
- Proficiency in writing quotes, managing service orders, and using MS Office or similar software.
