Position Summary: The Union Payroll Compliance Administrator will work within the Craft Payroll Department and will report to the Craft Payroll Manager. They will work closely with members of the Craft Payroll and Affiliate Companies Operation Teams to ensure timely and accurate compliance with Company’s union payroll obligations. The Union Payroll Compliance Administrator will also assist with other aspects of the union payroll process to support the Craft Payroll process. This position will be fully in-office.
Salary Range: $65,000 - $80,000 annually, depending on experience.
Essential Responsibilities:
- Administrate the Company’s Union Payroll compliance and reporting obligations.
- Administrate and successfully complete monthly Union Payroll reporting for multiple union-affiliated companies, across various states, ensuring timely and accurate submissions.
- Work collaboratively with the Accounts Payable Department to ensure all Union Payments are initiated and mailed timely to the correct union trust.
- Conduct internal audits to proactively identify and correct discrepancies related to union payroll and reporting.
- Lead our compliance with union third party audits.
- Maintain a detailed tracking of union affiliations by affiliate company, including key contacts, expiration dates, and other information to promote compliance tracking.
- Update payroll system rate information and conduct testing for rate changes or new union enrollments.
- Act as the key contact for Unions and Company personnel regarding Union Payroll Compliance.
- Stay informed about updates to union agreements and changes in labor laws that impact union compliance.
- Collaborate with internal teams and union representatives to support the implementation of new union agreements as Hoffman expands, ensuring seamless integration into payroll, compliance, and reporting systems.
- Provide support to the Craft Payroll Department with tasks such as new employee set up, E-Verify requirements, payroll cost transfers, and other tasks to support the Craft Payroll Team.
- Support other departmental projects, data requests, compliance requirements as needed.
- Provide outstanding service through timely and effective follow-ups and communications with both internal and external customers.
Qualifications:
Position Related Skills
- Experience processing interstate payroll preferred.
- Experience with multi-state and multi-trade unions in the construction industry; including experience with monthly union reporting compliance requirements.
- Ability to work well and maintain a cooperative attitude through high-pressure situations.
- Proficient in Windows and Microsoft Office 365 (Excel, Word, Outlook, Power Point and Teams), and have a general understanding of working within a computer network.
- Experience with payroll software and systems (e.g. ADP, SAP, JD Edwards or similar)
- Detail oriented with strong analytical and organizational skills.
- Excellent time-management skills and ability to multi-task and prioritize work while frequently interrupted by phone calls and questions on work in progress.
- Excellent written and oral communication skills with the ability to work effectively with union representatives and internal team members.
- Ability to work well in a large professional setting. Patience and professionalism are essential.
- Must be a strong team player with the ability to collaborate with various personnel within and across departments and at all levels of leadership.
- Ability to handle sensitive information with confidentiality and integrity.
Professional Experience and Education
- High School Diploma or GED required.
- Associate or Bachelor’s Degree in Business Administration, Accounting, Human Resources or a related field preferred.
- At least two (2) years with payroll administration, with a focus on union labor compliance is required.
- Strong knowledge of union agreements, prevailing wage requirements, and payroll regulations.
- Previous multi-trade union payroll compliance, in the construction industry, experience preferred.
