Job Title : Cash Application Administrator

Reports to : Controller

FLSA Status : Non-Exempt

Position Purpose : The Cash Application Administrator will be responsible for accurate and timely management of application of payments to appropriate invoices. This position requires an individual that has a desire to serve both internal and external customers with the ability to manage multiple priorities with deadlines while maintaining confidentiality and attention to detail. The company continues to show steady growth, and the Cash Application Administrator is required to have a strong focus on the continues improvement of processes and controls.

Duties and Responsibilities :

  • Ensure that all daily payments from Lockbox and other payment methods are applied appropriately to outstanding invoices.
  • Respond to credit & collections department or internal inquiries and research to resolve concerns or discrepancies.
  • Post intercompany payments received to appropriate accounts and request fund transfers.
  • Ensure that all banking transactions are recorded monthly and accurately.
  • Work with credit & collections department to evaluate unapplied payments routinely.
  • Work in multiple ERP systems.
  • Maintain detailed and complete records.
  • Assist with month end closing, ensuring all cash transactions are recorded within the month received.
  • Process and record any physical check payments received in house to their appropriate accounts timely.
  • Work with other accounting personnel on any application discrepancies and any intercompany cash transactions.
  • Review any unapplied cash routinely and post to appropriate invoices or accounts.
  • Contribute to Team Effort by leading by example; initiating an open and positive attitude; coordinating all the above tasks for the company in a professional manner.

Position Requirements :

  • 3-5 years general accounting experience preferred.
  • Associate’s or bachelor’s degree in accounting preferred, but not required.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures.
  • Strong attention to detail and organization.
  • Excellent proficiency of Microsoft Word, Excel, Outlook, and PDF programs.
  • Ability to perform work accurately and thoroughly with limited supervision.
  • Excellent interpersonal skills with the ability to communicate with all levels of staff
  • Ability to convey information effectively and clearly both in both verbal and written form.
  • Possess the trait of being organized or following a systematic method of performing a task.
  • Ability to take care of both internal and external customers’ needs while following company procedures.
  • Ability to utilize the available time to organize and complete work within given deadlines and to take constructive advantage of idle periods.
  • Ability to be internally inspired to perform a task to the best of one’s ability using his or her own drive or initiative.
  • Ability to pay attention to the minute details of a project or task with the ability to multitask.
  • Must be reliable, responsible, dependable, and fulfilling of obligations.
  • Must be detail oriented, results oriented and able to embrace and adapt to change, along with the ability to effectively multi-task in a deadline driven atmosphere.
  • Ability to effectively build relationships with customers and coworkers.
  • Set the standards for delivering high customer service and lead by example.
