Position Summary:The purpose of this position is to perform clerical, administrative, and other duties to assist the sales manager.
Qualification Standards
Education & Experience:
· At least 2 years of progressive experience in a hotel or a related field required
· High School diploma or equivalent required
· College degree preferred
· Customer Service experience required, hotel experience preferred
Tools & Equipment:
· Computer, projector, copier, fax machine, scanner, telephone, other office equipment
· Ability to work in Excel, Word, PowerPoint and various other software programs
Work Environment:
· Under variable temperature conditions
· Under variable noise levels
· Office setting
Physical Requirements:
- Long hours sometimes required

Duties & Functions
Essential:
- Up-sell existing contracts Approach all encounters with guests and employees in a friendly, service-oriented manner
- Maintain regular attendance, as required by scheduling which will vary according to the needs of the hotel
- Maintain high standards of personal appearance and grooming, as defined in the hotel handbook, when working
· Comply at all times with New Castle standards and regulations to encourage safe and efficient hotel operations
· Increase overall food and beverage revenue by offering upgrades and add on to existing events when appropriate
· Prompt response to client inquiries, including required information for file creation and maintenance is required during the planning and executing phase of conference
· Anticipate guests’ needs, respond promptly, and acknowledge all guests, however busy and whatever time of day
· Maintain positive guest relations at all times
· Resolve guest complaints, ensuring guest satisfaction along with the General Manager
· Answer telephone, Record messages
· Know pricing and menus and become familiar with house price policies
· Be knowledgeable of event rooms and their functions
· Make telephone calls and emails to specified individuals as requested
· Greet all individuals arriving at Catering/ Sales office and assist with their needs
· Maintain accurate trace files and communicate daily traces to DOC
· Establish and maintain filing procedures
· Prepare and send faxes; receive and distribute faxes to appropriate personnel
· Make photocopies
· Type correspondence, memos, and reports
· Attend designated meetings, take minutes, transcribe, and distribute
· Document all guest requests/complaints and communicate such to respective personnel for proper handling. Follow up on guest satisfaction
· Complete and distribute amenity request forms; follow up on any changes
· Maintain confidentiality and security of specified hotel information, correspondence, reports, and files
· Keep immediate supervisors fully informed of all challenges or matters requiring his/her attention
· Check and respond to electronic communications in a timely fashion

· Guide gusts through meeting and banquet space as needed
· Distribute Event Orders and memos
· Participate in all hotel and departmental meetings as requested

Qualifications
- Proven experience in B2B sales or retail sales is preferred.
- Familiarity with Salesforce or similar CRM software is highly desirable.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both written and verbal, to effectively interact with clients and internal teams.
- Demonstrated ability in business development, lead generation, and account management.
- Proficient analytical skills to evaluate data trends and make informed decisions.
