The Medical Practice Assistant supports both clinical and administrative operations in a physician’s office, ensuring efficient patient flow and quality care. Responsibilities include assisting with patient registration, scheduling, and insurance verification, as well as preparing exam rooms, taking vital signs, and supporting providers with patient care tasks.
Pay Range: $14.75 - $19.62/hour
Employment Type: Part Time, 32 hours every 2 weeks
Schedule: Monday & Wednesday 8:00 am - 4:30 pm
Requirements: High School Diploma or GED equivalent required,
Current BLS for the Healthcare Provider by 60 days after hire required
ASSESSMENT AND REFERRAL
- Applies patient screening practices.
- Recognizes and responds to patient emergencies.
- Answers the phone promptly and courteously, accurately taking and prioritizing messages and assisting callers to obtain satisfactory responses to their requests.
- Schedules appointments for clients assessed as needing an appointment for medication management or symptom management.
COMMUNICATION AND CONFIDENTIALITY
- Participates in maintaining a confidential, safe, client focused office.
- Communicates well with clients, referral sources, families and external customers as well as with the multi-disciplinary team of providers.
- Anticipates and provides support to the providers so that providers can focus on clinical productivity.
- Assures that messages are prioritized and distributed to the physicians in a timely/accurate manner.
- Screens calls appropriately and communicates with clients in a professional manner.
- Maintain confidentiality and compliance with HIPAA regulations.
DOCUMENTATION
- Documents client information in the medical record.
- Assists with maintaining patient medication logs as well as completing prescription files and communication logs.
- Monitors the orderliness and process related to the sample medication supply and sign out process.
QUALITY
- Supports the quality improvement activities of the facility and responds appropriately to change.
- Participates in learning experiences as appropriate.
- Requests supervision when needed and utilizes supervision effectively.
- Ensures compliance with policy, procedure and regulatory requirements.
- Identifies communication needs of significant referral sources, physician offices and pharmacies and assures that they receive information in a timely manner
PATIENT REGISTRATION RESPONSIBILITIES
- Greet patients warmly and verify their appointment details.
- Collect and update patient demographic, insurance, and contact information.
- Ensure all necessary forms are completed, signed, and scanned into the system.
- Schedule follow-up appointments as needed.
- Verify patient insurance coverage and benefits before appointments.
- Ensure proper documentation of registration details and any special patient needs.
- Provide clear information about office policies, procedures, and wait times.
- Answer incoming calls, respond to patient inquiries, and route calls appropriately.
- Assist with new patient onboarding and explain necessary paperwork.
- Collaborate with clinical staff to ensure a smooth patient flow.
Requirements:
High School Diploma or GED equivalent required
Previous experience in health care preferred
Current BLS for the Healthcare Provider by 60 days after hire required
