The Program Manager will work under the direction of the Physician Practice Operations Director overseeing and assisting with the day-to-day operations of Physician Practices and program development activities. The Program Manager will evaluate, plan and implement practice workflows to promote high-quality, cost-effective care; ensures focus and emphasis on enhancing patient and staff satisfaction. The role must seek out opportunities for service delivery enhancement to meet community and regional needs; performs other duties as assigned. HUMAN RESOURCE MANAGEMENT: Participates in the development of a staffing plan and hiring of administrative and clinical support staff. Participates in the employee appraisal system that assures optimal workforce capabilities, training needs, timely feedback and effectively addresses employee problems and concerns. Maintains accurate and up to date employee files. Serves as a mentor and resource for staff. Ensures compliance with federal and state regulations by implementing and monitoring personnel policies and procedures to protect employees and the organization. Evaluates clinical need and functions of programs and staffs the program or practice with appropriate level of clinical support. PLANNING AND MARKETING: Participates with physician practice and hospital leadership to develop a strategic and marketing plan that effectively positions the practice and programs to maximize success, including an effective public relations program, community and referral source education plans. Develops a customer relations program, may conduct periodic surveys and recommend improved processes and procedures that meet or exceed the expectations of patients, staff and referral sources. Monitors social media and web presence of practices and programs and generates ideas for improved performance and public engagement. OPERATIONS: Oversees ongoing information systems needs to assure that resources support and improve business performance. Supervises onsite business including practices operations, payroll, patient billing, collections and procedures. Prepares for and addresses requirements for hospital privileges and payer credentials and any audits by establishing a system to monitor licensure, credentialing, proctoring needs and re-certification to ensure regulatory compliance and continuity of service. Ensures compliance with staff activities under individual licensure requirements. Oversees the collaboration of department staff in the development of policies , procedures, programs, protocols and systems that will establish and improve the practice effectiveness and quality of patient care. Collaborates with hospital facilities staff to periodically evaluate facility capabilities in order to meet the ongoing operational needs of the organization. Evaluates daily operations and provider/ staff workload to meet program needs with a variable census with consideration to patient access time. BUSINESS MANAGEMENT AND DEVELOPMENT: Assists in the preparation and implementation of the budget including monitoring productivity, identifying and implementing cost improvement initiatives and variance reporting. Prepares periodic reports and performs regular assessment of financial performance to assure that practice financial and business development goals are met. Ensures that obligations to vendors and suppliers are met, establishes a system of checks and balances that minimize the risk of financial loss and ensure organizational integrity. Prepares and maintains group dashboards for internal reporting. Seeks out areas of business development to increase market share for programs and services. Ensures reporting and data submission activities are met for accreditation, regulatory and compliance requirements. -3-5 years of medical practice management experience, or program development activities with healthcare or population health emphasis, required -Bachelor's degree (B.A.) in a related field, or comparable experience, required -5-10 years of medical practice management experience, or program development activities with healthcare or population health emphasis, preferred. Clinical experience (Registered Nurse, Licensed Practical Nurse, or other medical technical position) preferred Knowledge of medical practice operations and billing functions required Experience working with physicians along with planning and program development skills required Strong interpersonal communication skills required Must be exceptionally dependable, with ability to work effectively under stress. Must be able to work effectively and communicate across multiple disciplines and departments. Must be professional and courteous with all types and conditions of patients.
