Overview
We are seeking a dedicated and organized Finance and Administrative Assistant to join our team. This part time position supports the Finance Department managing customer projects and accounts, accounts payables and receivables, and other related duties. In addition, this position will provide support for the overall office management, answering incoming calls, as well as managing the incoming mail. As necessary, support will be provided to the data collection team including quality checking and typing. The ideal candidate will play a crucial role in supporting our daily operations, ensuring that financial and administrative tasks are handled efficiently and effectively. This position requires strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Duties
- Provide exceptional customer service by responding to inquiries and assisting clients in a professional manner.
- Manage phone systems, including answering calls, directing inquiries, and taking messages as needed.
- Utilize the established accounting software and additional programs to perform daily functions such as: picking up, preparing, entering and processing remote deposits, reconciling, coding and entering accounts payable, preparing and mailing/electronically processing accounts payable payments and following established procedures to record and process client contracts and system setups
- As needed, follow established procedures to quality check surveys and data entry
- Maintain confidentiality of sensitive information while handling administrative tasks.
- Collaborate with other departments to ensure smooth communication and workflow.
Skills
- Professional delivery of English verbal and written communication: grammar, language, spelling
- Education in a relevant field: Bookkeeping, Customer Service
- 2 years of successful work experience in Bookkeeping, Project Support, Customer Service,
- Knowledge of general accounting software.
- Ability to work independently, set and manage priorities and deadlines
- Excellent critical thinking skills
- Proven ability to achieve quality results and meet deadlines
- Command of MS Office Suite and financial software programs
