- Audit bills and Rate comparison 2 times a year (phone plans, utilities, credit cards etc)

- Insurance rate comparison annually (interfacing with agents)
- Email - sort through and process as needed
- Weekly status meeting (Monday morning)
Administrative Assistant Responsibilities
- Account Receivable - proficient in Quickbooks Online
- Accounts Payable - QBO
- Invoicing Clients
- Producing Estimates
- Health Insurance – payment and shopping competitive pricing
- Support – Returning phone calls
- Support – Calendar Entries
- Support – Business and personal insurance payments
- Support – Minor Office IT issues. Changing printer ink, scanning, Out of Office Response. Updating contact cards in Outlook.
- Support - coordinating Fed Ex / UPS package sends
- Support - additional resource for creating and typing documents
- Hospitality – ordering lunch when applicable
- Office Supplies – Order and manage
- Coordinate annual charitable giving
- Coordinate gift giving
Personal Executive Responsibilities
- Log user name and passwords accordingly
- Regulate online bill pay
- Pay needed bills (office, studio, residential)
- Process mail
- Changing address and mail correspondence
- Keeping abreast of the most current savings opportunities with regard to bills
- Travel planning and coordination including reservations, itinerary planning, etc.
- Email management, scheduling and calendaring
- Perform additional tasks as they arise
- Coordinate payroll with CPA
- Update Production Income Sheet
Property Administrative Management
- Review and reconcile Quickbooks monthly to confirm receipt/deposit to bank
- Accounts receivable in Egnyte
- Add quickbooks payments to Spreadsheet
- Bill review and verification
- Rent collection verification
- Income logging
- Contractors – Selecting & obtaining multiple bids
- Payment to contractors
- Annual tax payments
IT Responsibilities
- Simple updates to Wordpress sites
Social Media
- Review B2C Social Pages - Facebook and Instagram
- Review B2B – Linked In
- Follow Social Media Strategy
Financials
- Bookeeping and coordinating with bookkeeper for
- Download Stock statements
Requirements College Graduate
Five (5) years’ experience in field
Three (3) references
- Trust worthy
- Hard & smart working
- Positive attitude dedicated in service
- Professional appearance
- Self-motivated
- Fluent computer skills
- Fluent in Word, Excel, Outlook, internet browsing, Power Point, Adobe, etc.
- Doesn’t require any sort of insurance
- Trial period of 3 - 6 months
