Job Description

The Director of Finance and Operations is responsible for overseeing all financial and operational responsibilities within the organization. Responsibilities include budgeting, accounting, financial reporting, payroll, human resources, and overall day-to-day operations including facilities and general technology. This position will ensure compliance with regulations while providing strategic financial guidance to leadership teams. This position reports to the CEO.

Roles and Responsibilities


Finance:

  • Prepare and present monthly, quarterly, and annual financial reports in an accurate and timely manner; monitor progress and changes and keep senior leadership informed of the Holocaust Center’s financial status.
  • Manage accounts receivable and payable. QuickBooks data entry and management.
  • Maintain internal controls and safeguards for receipt of revenue, costs, and program budgets and actual expenditures.
  • Oversee the annual budgeting and planning process, working with the Holocaust Center’s Directors.
  • Work closely with the development team to build and implement a system for donation processing and financial compliance.
  • Administer and review all financial plans and compare with actual results to identify, explain, and correct variances as appropriate.
  • Report to management on investable assets and adherence to the investment policy. Make appropriate recommendations to the CEO.
  • Manage cash flow, forecasting continuously to ensure organizational needs are met.
  • Act as primary staff liaison for the Board Finance Committee. Attend, and prepare materials and reports for Finance Committee meetings (quarterly), and Board meetings (approximately 6 times annually).
  • Manage insurance.
  • Ensure preparation and timely filing of all regulatory and tax reports.
  • Manage banking, investment, and other financial and accounting relationships.
  • Ensure the financial system is able to document grant expenditures for reporting.
  • Manage the CRM integration to the accounting system.


Operations:

  • Supervise one administrative staff, and potentially temporary staff.
  • Ability to master the applications being used by the Holocaust Center and setting them up with Quickbooks integrations. This includes Neon, Paychex, bill.com, and online banking capabilities.
  • Manage 401k administration, employee benefits, onboarding, including account set up for new employees, employee handbook.
  • Oversee updating and development of organizational policies and procedures, as needed.
  • Oversee the management of equipment and facilities.
  • Oversee technology and manage all outside tech contractors, including IT, A/V, and website development.


Qualifications

Any combination of experience and training that demonstrates the ability to perform the duties of the position is qualifying. This includes:

  • Five years of work experience in responsibilities consistent with the above roles and responsibilities.
  • Ability to balance multiple priorities and projects is essential.
  • Personal qualities of integrity, respect, a positive attitude, and credibility; a hands-on individual who will take responsibility for all aspects of finance and operations, working collaboratively with the CEO and Board leadership.
  • Minimum of a BA or BS in relevant discipline.
  • Solid experience coordinating audit activities and managing reporting, budget development and analysis, accounts payable and receivable, general ledger, payroll, and accounting for investments. Experience with Quickbooks preferred.
  • Technology savvy with keen analytic, organization, and problem-solving skills, enabling a focus on strategic data interpretation versus simple reporting.
  • Knowledge of best practices and ability to implement them.
  • Strong interpersonal and communication skills; experience in effectively communicating key data, including presentations to senior management, Board, or others.


Schedule: This is a full-time hybrid position, with a minimum of two days in the office in downtown Seattle.

Salary range: $110,000-$130,000 depending on experience.
