We are seeking a motivated and organized Human Resources Assistant to join our HR team. The primary responsibility of this role is to provide essential support to the Human Resources department including recruitment, onboarding, employee relations, and administrative tasks in a positive and efficient HR environment. This role requires exceptional communication skills, attention to detail, a strong sense of discretion, and the ability to work in a fast-paced environment. As part of this role, you will be exposed to highly sensitive and confidential information. It is imperative that you maintain strict confidentiality and discretion at all times. Human Resources Assistant
- Organize and maintain personnel files (paper & electronic) of both current and terminated employees.
- Organize and maintain HRIS with current employee information.
- Assist HR team with day-to-day administrative tasks, including employee lifecycle events such as filing, data entry, and document management.
- Assists with job inquiries, applicant tracking and scheduling interviews.
- Assists with scheduling and executing pre-employment screening process for new hires.
- Helps with new hire onboarding, including checking references, setting up employees in applicable systems, handling enrollment paperwork, creating new hire packets.
- Complete, file and maintain required documentation for employees including I-9s and OIG Exclusions.
- Complete and file employment verification requests.
- Assist with licensure tracking and verification for all licensed personnel.
- Assist with planning and coordinating employee events including open enrollment meetings, new employee orientation and staff “fun days”.
- Assist with coordination and scheduling of departmental trainings and educational requirements.
- Assist with the administration of employee benefits. Reconcile monthly benefits invoices with deduction register.
- Assist with the FMLA paperwork process.
- Inputs provider time study data into annual spreadsheet.
- Assists with gathering data/information for various annual audits.
- Assists with HR projects as assigned.
- Manage and safeguard confidential documents and communications.
- Respond to inquiries while ensuring that no confidential information is disclosed.
- Ensuring that all discussions and communications regarding confidential matters are conducted discreetly.
- Ability to multi-task several projects at a time with attention to detail.
Assistant to Administration
- Assists with creating monthly board packets. Compiles monthly board of directors meeting minutes and board committees’ minutes.
- Assists with running monthly financial reports and distributing them to department managers.
- Track annual provider CME allowance and utilization. Process provider purchases.
- Coordinate and process travel requests process for organization including making hotel and airline reservations.
- Greets visitors to the administrative offices.
Experience:
- One year administrative experience required.
- Proven experience in a role that requires handling confidential information.
- Proven experience as an administrative assistant, HR assistant or in a similar role.
Education:
- High school education or equivalent required
- Education in business or human resources, preferred.
Skills & Abilities:
- Knowledge and understanding of HR processes and procedures is helpful. Basic knowledge of Labor Laws.
- Strong organizational and time management skills
- Demonstrated interpersonal communication skills as well as effective verbal/written communication skills
- Ability to juggle multiple tasks while providing excellent customer service
- Strong attention to detail and proven ability to prioritize workload
- Work must be completed with quality and accuracy
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Hands-on experience with an HRIS or HRMS preferred
- Ability to work in a team environment and promote a positive attitude
- Ability to accept and respond to changes in the work environment

Salary : $32,800 - $42,000
