POSITION PURPOSE
This position serves as the first encounter for patients, visitors, and vendors in the Wound Care Department. This position is supportive of Wound Care Clinic Staff, scheduling, stocking, managing, billing, and serves as the main contact person for clients. The Outpatient Wound Care Administrative Assistant/Technician must be clinically competent.
THIS POSITION WORKS CONCURRENTLY IN A DIRECT PATIENT CARE POSITION AND AS AN ADMINISTRATIVE ASSISTANT/SUPPORT STAFF CAPACITY .
ESSENTIAL DUTIES, FUNCTIONS & RESPONSIBILITIES
- Professionally and accurately answers phones, routes calls, and takes accurate and detailed messages
- Consistently uses 2 patient identifiers in the patient registration process
- Accurately gathers and confirms demographic information and ensures that current insurance information is validated in Evident and Wound Expert
- Works with clinical personal and manager to ensure that patients are updated in the event of clinic delays
- Accepts various forms from patients including incoming and outgoing medical record requests and routes them appropriately for completion.
- Ensures Insurance verification/ABNs are completed
- Completes check out process, scheduling future patient appointments
- Notifies clinical staff immediately if/when appointments cannot be scheduled as indicated
- Responsible for monitoring fax machine, sending and receiving transmissions
- Monitors levels of office supplies and orders, stocks, and rotates supplies
- Prior authorizations for procedures before scheduling patients to ensure payment
- Professional and Facility billing are completed for date of service
- Keep work area and clinic clean and tidy
- Submit work orders as needed
- Transfer of patients to and from clinic via wheelchair and to and from bed as needed
- Obtain Vital Signs upon arrival to clinic .
- Actively participates in selected committees and maintains continuing education.
- Maintains a good working relationship within the departments.
- Understands and utilizes the chain of command.
- Keeps administrative issues confidential, maintains HIPAA (Health Insurance Portability and Accountability) and employee confidentiality.
- Other duties as assigned.
MINIMUM MANDATORY QUALIFICATIONS
A minimum of two (2) years of documented successful experience in a healthcare setting.
- High School Diploma or GED equivalent.
- Superior interpersonal and team building skills.
- Knowledge of the mission, organization, programs, and requirements of the healthcare delivery system of THS.
- Knowledge of their specific disciplines scope of practice in New Mexico.
- Skill in oral and written communication in dealing with a variety of individuals.
- Ability and utilization to recognize, anticipate and respond to the needs of customers/patients in a caring, respectful, and courteous manner that leads to satisfactory resolution for the customer/patient.
- Strong skill set on computer and telecommunication devices.
- Analytical ability to evaluate complex patient scenarios, critical thinking skills.
- A record of satisfactory performance in all prior and current employment as evidenced by positive employment references from previous and current employers.
PREFERRED QUALIFICATIONS
- CNA, MA, LPN, EMT-I, or EMT-P.
- Bilingual skills in English and Spanish
