Job Title: Scheduling Coordinator

Position Summary:
Coordinates, assigns and updates client/caregiver schedules for all service areas.
Position Responsibilities:
These include but are not limited to:
- Enter/update client schedules and caregiver availability into scheduling software system.
- Fill client schedules based on information regarding client needs and preferences as provided by the Case Management Team.
- Schedule client medical appointments and outings and ensure staff is aware.
- Ensures that caregiver schedules are confirmed weekly no later than Thursday at end of day.
- Re-staffs shifts as needed for an employee call out.
- Work with the Care Coordinator/Case Manager to ensure that all caregivers assigned a client are given the plan of care information to provide quality care to the clients.
- Assists office staff in monitoring shift status to ensure caregivers arrive at scheduled shifts.
- Provide notification to Care Coordinator/Case Manager of all shifts not assigned/staffed.
- Provide office telephone coverage as necessary, assist caregivers and office visitors with their requests.
- Review daily on call reports and make necessary scheduling changes.
- Participates in staff meetings, client review and stand-up meetings.
- Provide backup phone support to the after-hours on-call staff as per agency policy and schedule.
- Preserves human dignity and the confidentiality of clients.
- Assures compliance with confidentiality and company policies and procedures.
- Represents the company in a professional manner.
Essential Skills and Experience:
- Ability to effectively communicate both verbally and in writing.
- Proficient in Microsoft Office and use of computer
- Ability to learn and become proficient in scheduling software system
- Use of proper telephone, email and letter etiquette.
- Must work well as part of a team.
- Valid WA state drivers license and reliable transportation.
- Able to pass criminal background check and driving record screening
- Ability to work effectively and follow through on tasks to completion in a busy work environment with many distractions – organizational and multitasking skills
