Scheduling Coordinator

25 - $27 an hour

Full-time 36-40 hours per week

  • Proficient in or willing to learn Wellsky, Viventium, Apploi, Word, Excel, Outlook is a plus
  • EDUCATION : Some college is a plus and candidates with business education will be given preference
  • EXPERIENCE : 2 years of administrative assistant experience, able to multitask, handle scheduling, run background checks, plan ahead to avoid issues.
  • REFERENCE : One professional and one personal reference
  • Proof of eligibility to work in the United States and ability to pass a criminal background check

Responsibilities

  • SCHEDULE : Monday-Friday 8am - 4pm / 5pm
  • Potential on-call participation.
  • Understand how the company’s scheduling system runs
  • The goal is to have no missed shifts, avoid caregiver burnout and no shows, and use a proactive management of the schedule.
  • Matchmaking our Caregivers with appropriate clients, assuring not only schedules match up but as well as location, skill set and personality
  • Communicate well with employees and clients to improve overall satisfaction.
  • Supporting caregivers and thoughtful customer service are important parts of this role.
  • Assess client needs and develop individual care plans
  • Ensure that appropriate caregivers are matched with clients
  • Maintain accurate and updated client records
  • Collaborate with healthcare professionals and community resources.
  • Ensure compliance with regulatory guidelines and company policies
  • Other responsibilities may include getting cross trained to support other operational departments and functions :
  • Assisting in the recruitment and onboarding of caregivers

  • Compliance support and other general office support
  • Managing client / caregiver caseloads for scheduling
  • Communicate clearly with all departments.
  • Properly assign the pay rates and billing rates on each shift and ensure that each shift is properly recorded in WellSky.
  • Communicate clearly to the team about any action items and critical updates
  • Work with the Virtual Assistant to plan ahead, analyze the staffing needs, and achieve staffing goals proactively.
  • May need to be a back-up overnight scheduler on weekends or nights rotating this with others.
  • Work with HR for successful hiring, orientation, and scheduling of caregivers.
  • Master WellSky (formally ClearCare), Viventium, Apploi, STAT Healthcare Academy, WATCH background checks, DSHS background checks, and other plaforms.
  • Maintain accuracy in WellSky for employee and client hours for payroll and billing purposes.
  • Provide outstanding communication to the owner, virtual assistant and team members.
  • Help develop our caregivers by coaching, supporting, doing wellness calls and pinpointing their needs.
  • Provide coaching if a caregiver violates the attendance or communication policy set forth in the Employee Handbook.

    REPORTS TO : The Home Helpers Home Care owner

    JOB SUMMARY : The Staffing Coordinator’s job is to support the business operations by coordinating staffing, managing the schedule, match the caregiver with the client, and respond to employee and client requests.

    The goal is for no missed shifts, low stress, avoid caregiver burnout, which will give the best outcomes for clients and caregivers.

    SCHEDULE : This is a hourly position and

  • not a desk job only.
  • Monday-Friday 8am - 5pm and potentially help with holiday and on-call schedules.

  • KEY FEATURES :

    1)Understand the scheduling rules, systems, and anticipate future scheduling needs.

    We aim for no missed shifts, no call outs, and proactive management of schedules. Proactively communicate with employees and clients so they are not surprised or stressed.

    2)Communicate clearly with all members of the team. Report to the owner as needed.

    3)Be sure each shift is recorded in WellSky.

    4)Communicate clearly at the end of each shift to the team any action items and critical updates. Work with the team to think ahead, analyze the staffing needs, and anticipate gaps. At times may need to act as back-up overnight scheduler.

    5)Successful orientation of new caregivers, manage the scheduling needs, and hire caregivers as needed.

    7) Learn all online platforms used.
