What are the responsibilities and job description for the Human Resources Administrative Assistant position at Home Instead?
Primary Responsibilities of HR Admin Assistant:
· Handle office responsibilities to allow a consistent, efficient operation which is critical to the business.
· Assist with the hiring process for new Care Pros and Key Players. Duties will include professional and personal reference checks; moving applicants through the hiring process utilizing Jot Forms; assisting the Director of Training and Compliance with the orientation process.
· Maintain accurate Care Pro and Key Player personnel files to make certain that all files are up-to-date and in compliance with Franchise Standards and PA Department of Health regulations.
· May assist the Billing and Payroll Specialist with client invoices and Care Pro payroll as necessary.
· Greet and welcome each visitor in a courteous and professional manner and promptly notify the appropriate staff of their arrival.
· Answer and screen incoming telephone calls in a courteous and professional manner and distribute to the appropriate administrative staff.
· Communicate client and Care Pro concerns or problems to the General Manager or other administrative staff as appropriate.
· Demonstrate open and effective verbal and written communication with administrative and Care Pro staff.
· Maintain regular attendance at the office to execute job responsibilities.
· Develop and meet professional and personal quarterly goals.
· Perform all other functions and responsibilities deemed necessary for the successful operation of the Home Instead franchise.
Education/Experience Requirements:
· High school diploma or the equivalent.
· Two years Human Resources experience in a similar field.
· Must possess a valid driver’s license and vehicle with valid auto insurance.
Knowledge, Skills and Abilities:
· Must have an understanding and uphold the policies and procedures established by AAA Senior Care, LLC, d.b.a. an independently owned and operated Home Instead franchise
· Must demonstrate excellent oral and written communication skills and the ability to listen effectively.
· Must have the ability to work independently, maintain confidentiality of information and meet deadlines.
· Must have the ability to demonstrate effective interpersonal skills as well as sound judgment and good decision-making.
· Must demonstrate discretion, integrity and fair-mindedness consistent with company standards, practices, policies and procedures.
· Must have the ability to organize and prioritize daily, monthly, quarterly and yearly work.
· Must have the ability to present a professional appearance and demeanor.
· Must have the ability to operate office equipment with knowledge of technology.
· Must have computer skills and be proficient in Word and Excel.
· Must have knowledge of the senior-care industry.
· Must have the ability to sit at a desk and listen effectively for long periods of time on the telephone.
