SUMMARY: The Intake Department is a core part of HPG. The Scheduling Navigator will play a critical role in this department by aiding any new patient that requires Medical Services.
QUALIFICATIONS & ATTRIBUTES:

High school diploma or GED.
- Post high school education is advantageous.
- Proven experience working in a medical office.
- Working knowledge of medical terminology and medical insurance plans.
- Proficient in Microsoft Office applications (Word, Excel, Outlook).
- The ability to type and file accurately.
- Strong communication, interpersonal and presentation skills.
- Good computer and electronic record skills.
- Good organizational skills.
- Good interpersonal skills.
- Aptitude in problem-solving, critical thinking, and decision-making.

MAJOR AREAS OF RESPONSIBILITY:
- Live the mission of the organization.
- Ensure accuracy and efficiency in gathering patient information, verifying insurance, and completing necessary paperwork.
- Coordinate new or established patient appointments based on physician availability and patient preference, ensuring timely scheduling and follow-up.
- Call new patients for feedback on their introduction to the company, ensuring they are aware of upcoming appointments.
- Maintain HIPAA and confidentiality standards in accordance with all state and federal regulations.
- Collaborate with other departments, providers, and staff as needed for compliance and assistance.
- Perform additional tasks as assigned by management to ensure patients are scheduled in a timely manner.
- Conduct pre-procedure phone calls and confirm appointment times with patients.
- Review and address patient discharges and hospitalizations.
- Prepare scheduling for patients needing diagnostic tests, imaging, and blood work per provider instructions.
- Maintain constant communication with providers.
- Ensure new admits and discharges are addressed per the workflow chart.
- Respond to Teams messages, emails, and voicemails daily, ensuring all are addressed before clocking out.
- Manage appointments, reschedules, and cancellations.
- Maintain, review, and update census data daily.
- Coordinate appointments with patients and their caregivers for consultations, evaluations, treatments, and follow-ups.
- Gather existing and new patient information efficiently and accurately.
- Conduct daily reports about new patients received and scheduled.
- Additional tasks as assigned by manager.
