Receptionist/Office Assistant
Outgoing professional receptionists to perform a variety of functions in a real estate Title Insurance Agency.
The ideal candidate will:
- Greet and direct visitors
- Operate multi-line telephone system to answer incoming calls, determine purpose of call, direct callers to the appropriate team members and take messages or make transfers to voicemail if team members are unavailable
- Answers questions about the organization and provides callers with address, directions, and other information
- Welcome on-site visitors, determine the nature of business and announce the visitors to the appropriate personnel
- Enter all new orders in Quali.
- Order the title and lien search
- Send out a welcome email for all new entries on the same day as order received
- Retrieve the title commitment and prepare file for processing.
- Send out wire instructions
- Verify wire instructions when clients call in
- Receives escrow deposits and forward them to the treasury management team
- Conduct client pick up including checks and lock boxes
- Coordinate internal staff meetings and order lunches as requested by management team.
- Receive, sort, and route mail and publications
- Monitor and oversee fax operations including: assisting users, send faxes, retrieve and route incoming faxes; create and print fax cover sheets, memos, correspondence, reports, and other documents when necessary
- Guide customers to the closing rooms and gather required documentation for the closers
- Prepare closing rooms for each customer including restocking pens, cookies and snacks
- Assist customers in getting coffee or beverages prior to entering the closing rooms
- Order, receive and maintain office supplies
- Perform other clerical duties as needed, such as filing, photocopying, and collating
- Ensure that the refrigerators and candy containers remain stocked throughout the day
- Remove the trash from all areas at the end of each day to keep the areas clean and tidy

Qualifications
- High School diploma or equivalent is required.
- Strong software skills & MS Office proficiency is required
