Position Summary:
We are seeking an experienced and highly skilled Executive Assistant to support our five executive team members. The ideal candidate will have a minimum of three years of experience in a similar role, demonstrating exceptional communication, organizational, and tech-savvy skills. This role is critical to ensuring the smooth daily operations of our executive team.
The successful candidate will be a detail-oriented and experienced planner with the ability to respond efficiently and effectively, all while maintaining flexibility, composure, and a positive attitude. Key responsibilities include facilitating team activities and projects, managing complex calendars, coordinating meetings, handling travel arrangements, processing expense reports, and more.
Key Responsibilities
- Heavy calendar management and meeting coordination for multiple executives.
- Coordination of domestic and international travel arrangements.
- Processing expense reports in a timely and accurate manner.
- Facilitating key team activities, events, and special projects.
- Acting as a liaison between team members, HR, fellow Executive Assistants, and facilities.
- Managing organizational charts and ensuring executive documentation is up to date.
- Handling confidential information with integrity and discretion.
- Anticipating and planning for short- and long-term needs to ensure smooth operations.
- Act as the primary point of contact between executives and internal/external stakeholders, ensuring clear and timely communication.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Organize and maintain confidential files and records, ensuring accuracy and easy access.
- Plan and execute executive meetings, including taking notes and distributing action items.
- Handle special projects as assigned and follow through to completion with minimal supervision.
- Assist with technology-related tasks, including setting up virtual meetings and managing software tools used by the executive team.
- Provide occasional on-site office support in the Nashville market, as needed.

- Exceptional organizational and multitasking abilities with a high level of attention to detail.
- Excellent written and verbal communication skills.
- Proven ability to handle confidential information with discretion.
- Strong problem-solving skills and ability to work independently.
- Flexibility to travel to the Nashville office occasionally, if not based locally.
