Job Overview
We are seeking a highly motivated and organized Office Manager to oversee the daily operations of our optometry practice. The ideal candidate will have experience in a medical office setting, exceptional organizational and communication skills, and a passion for helping others. As the Office Manager, you will play a key role in ensuring our office runs smoothly and efficiently, supporting our doctors and staff, and providing an excellent experience for our patients.
Responsibilities
- Manage daily office operations, ensuring efficient workflow and excellent patient care
- Supervise, train, and support office staff, including receptionists, technicians, and other team members
- Oversee scheduling of appointments, patient flow, and ensure timely patient care
- Handle patient inquiries, insurance verifications, billing, and collections
- Manage inventory of office supplies, equipment, and optical products
- Coordinate patient communication, including reminders, follow-ups, and satisfaction surveys
- Ensure compliance with HIPAA and other regulations related to patient confidentiality
- Assist with marketing efforts to promote the practice and increase patient engagement
- Oversee financial management of the practice, including budgeting and reporting
- Handle conflict resolution and address patient concerns with professionalism
Qualifications
- Previous experience in office management or a similar role, preferably in an optometry or medical office setting
- Strong leadership and team management skills
- Excellent organizational, multitasking, and time-management abilities
- Proficiency in office management software and basic office equipment
- Knowledge of insurance verification, billing, and coding (experience with vision insurance is a plus)
- Ability to maintain a positive, professional demeanor even in high-stress situations
- Strong communication and interpersonal skills
- High school diploma required; associate's degree or higher preferred
