The Special Events Specialist is responsible for coordinating with various event programmers and coordinators to support the operational planning, preparation, and execution of City sponsored and/or supported special events. In addition, this position performs general maintenance and upkeep of parks and recreation facilities. This is a hands-on maintenance position that performs both routine and non-routine activities. Other duties include parks grounds and trails maintenance, facility maintenance, sports fields, emergency operations and snow removal. The hiring range for this full-time non-exempt position begins at $28 per hour (DOQ).

Position Responsibilities

Special Events. Works collaboratively with the event coordinators to manage facilities set-up for special events and park activities. Responsible for the physical logistics of special events. Prepares, maintains, and performs set up and tear down of equipment and facilities for activities and special events (e.g., setting up tables and chairs, booths, electrical hook ups, bleachers, trash cans, fencing, signage etc). Monitors special event operations, coordinates maintenance staffing assignments, and ensures cleanliness and safety of activities. 

 Vehicle and Equipment Operation. Loads and unloads materials and equipment from trucks and trailers. Hauls materials and transports equipment to event locations. Operates loaders and other small and large specialty equipment. Listens and receives calls on radio and cell phone to receive assignments. 

Budgeting and Purchasing.  Collaborates with the event coordinators and the Park Supervisor to develop plans for equipment and supply needs.  Assesses best solutions specific to repair vs replacement of items.  Purchases authorized tools, equipment, and materials in accordance with City policies and procedures and as provided for in the annual budget. Occasionally prepares bid specifications. Assists the Supervisors in maintaining up to date inventory of event materials, equipment and supplies. 

Contract Management. Works with event coordinators and the Park Supervisor to coordinate, execute, monitor, and evaluate outside contracts.  Reviews the work in progress and resolves problems that may arise. 

Emergency Operations. Performs snow removal and ice control operations for Public Works on City streets during regular work hours and off duty times. 

Professional Development.  Attends and contributes to various professional associations affiliated with parks and recreation practices. Pursues continuing education through professional organizations and other continuing education programs. 

Parks, Grounds and Trails Maintenance. Assists with the general maintenance, upkeep, and safety of parks, grounds, and trails. This includes tree removal and planting, spraying, pruning, trimming, watering, and fertilizing flower beds and shrubs, monitoring the safety and maintenance of the trails, maintaining sight lines, and mowing grass with hand or self-propelled riding mower.  Performs debris and trash removal in parks and public areas. Operates farm-type tractor with attached equipment. Properly applies herbicides and pesticides in City parks and maintains irrigation systems. Works on a rotating schedule to ensure that restrooms are clean and contain adequate supplies.   

Minimum Requirements

  • High School Diploma or the equivalent is required.
  • Three to five years of experience in the production of special events and/or other related activities is required.  One year of experience supervising people and events is preferred.
  • Valid Class A or B Commercial Drivers License (or ability to obtain within 180 days of employment) with acceptable driving record.

Any combination of education and experience that provides the knowledge, skills, and abilities to successfully perform the responsibilities above may also be considered.

Work Schedule

The base schedule for this position is Monday through Friday, 7am – 3:30pm; however, this position will frequently require attendance at activities and events that may occur in the morning, evening, and on weekends and holidays.  This position is required to respond and participate in snow removal and ice control operations during off-duty times. Emergency response shifts begin upon call-in and can occur anytime, day or night, seven days per week INCLUDING HOLIDAYS. Typical emergency shifts are twelve hours on and a minimum of eight hours off between shifts.
