Position Summary
The Strategic Director of Systems and Operational Excellence is an executive leader responsible for overseeing the design, implementation, and continuous improvement of operational systems, enterprise workflows, and cross-functional initiatives. Serving as a key member of the leadership team, this role drives strategic alignment across departments, elevates organizational performance, and ensures operational infrastructure supports high-quality care and business growth.
This leader is accountable for advancing a culture of accountability, innovation, and excellence—leveraging tools such as Monday.com, Alleva EHR/CRM, OneDrive, and Excel to create scalable solutions. In partnership with the CEO and executive team, the Executive Director plays a vital role in clinical and administrative efficiency, compliance, risk management, and strategic project execution.
Key Responsibilities
Organizational Systems & Workflow Optimization
· Architect, implement, and govern enterprise workflows and operational systems across departments, ensuring they align with organizational goals and clinical standards.
· Lead the administration and continuous improvement of platforms including Monday.com, Alleva EHR/CRM, and related tools—ensuring system integrity, user adoption, and functional optimization.
· Analyze operational data and workflow performance to identify inefficiencies, inform strategic decisions, and guide continuous process improvement initiatives.
· Serve as the executive liaison with technology vendors and internal teams for issue resolution, enhancements, and system integration.
Strategic Project Leadership
· Oversee the planning, execution, and evaluation of high-impact projects, including system rollouts, organizational initiatives, and process reengineering efforts.
· Champion enterprise-wide change management strategies to ensure alignment, adoption, and measurable outcomes across all levels of the organization.
· Partner with department heads to identify operational bottlenecks and lead structured improvement initiatives from concept to execution.
· Provide strategic input on resource planning and budget alignment for major operational initiatives.
Risk Management, Compliance & Regulatory Oversight
· Direct risk mitigation strategies by maintaining compliance with relevant healthcare regulations (e.g., HIPAA, JCAHO), and internal standards.
· Lead quality assurance initiatives, including the coordination and facilitation of monthly QA meetings and continuous improvement tracking.
· Oversee organizational readiness for inspections, licensing renewals, and external audits in partnership with the Facility Administrator and Compliance team.
· Ensure robust incident management protocols are executed with transparency, documentation, and corrective follow-up.
· Contribute to the development and enforcement of organizational policies and standard operating procedures (SOPs) that promote safety, compliance, and operational consistency.
Performance Monitoring & Insight Reporting
· Develop and maintain comprehensive reporting systems for key performance indicators (KPIs) across departments, ensuring transparency and alignment with operational, clinical, and strategic objectives.
· Deliver operational dashboards, compliance metrics, and trend analyses to the executive team to support data-driven decision-making and organizational accountability.
· Monitor clinical documentation performance, staff compliance, and service delivery benchmarks using Alleva and other analytics platforms.
· Lead the analysis and dissemination of patient satisfaction survey results, providing targeted insights and actionable follow-up plans that reinforce a culture of service excellence and continuous improvement.
Executive Leadership & Culture Building
· Act as a key strategic collaborator with the CEO and executive team on operational initiatives, system development, and organizational effectiveness.
· Inspire cross-functional collaboration, fostering a results-driven and solution-oriented culture throughout the organization.
· Lead by example in setting standards for operational excellence, accountability, and continuous learning.
· Support long-term organizational planning and growth strategies in collaboration with the CEO and executive leadership team.
Qualifications
· Bachelor’s degree required; Master’s degree in Business, Healthcare Administration, or related field strongly preferred.
· Minimum 5 years of senior leadership experience in operations, systems design, project management, or workflow optimization—preferably in a healthcare or behavioral health setting.
· Proven track record of leading organization-wide initiatives, managing enterprise systems, and delivering measurable operational improvements.
· Advanced proficiency in Monday.com, EHR platforms (Alleva preferred), CRM systems (Alleva/Dazos preferred), Microsoft Excel, and cloud-based collaboration tools.
· Deep understanding of healthcare compliance standards and quality assurance frameworks (HIPAA, JCAHO, AHCA, DCF).
· Exceptional leadership, analytical, and communication skills.
