We are seeking a motivated and personable Client Service Specialist (CSS) to join our team. This role is vital in fostering positive client relationships, maintaining operational efficiency, and ensuring our office runs smoothly.
Position Summary:
As a Client Service Specialist, you will support the HFS team by managing client interactions, coordinating office activities, and assisting with administrative duties. Reporting to the Director of Client Services, you will play a key role in ensuring our clients and prospective clients feel secure, valued, and informed about the services we offer.
Key Responsibilities:
Client Relations:
- Maintain a positive and welcoming attitude with clients and prospective clients, ensuring they feel valued and secure.
- Answer phone calls with professionalism and direct inquiries to the appropriate team member or escalate as needed to the Director of Client Services.
- Assist in scheduling and coordinating appointments, including introductory reviews, 90-day/annual reviews, and clarification or follow-up calls, in collaboration with the Director of Client Services.
- Welcome clients as they arrive
- Offering Refreshments
- Notifying appropriate advisor that their client has arrived
- Be conversational while waiting for advisor to come and greet clients
Administrative Support:
- Maintain accurate and up-to-date records within the Customer Relationship Management (CRM) system under the guidance of the Director of Client Services.
Office Coordination:
- Maintain the lobby area by anticipating client meetings, greeting guests, and ensuring a welcoming atmosphere with beverages or conversation while they wait.
- Monitor refreshments and ensure they are fully stocked and readily available, including coffee, the beverage fridge, and any snacks available.
- Assist in the smooth flow of office appointments and meetings, coordinating with the Director of Client Services to optimize scheduling and preparation.
Client Experience Enhancements:
- Send appointment reminders (via text, email, or calls) and follow up as needed.
- Prepare special customized reports and materials for client meetings as directed by the Director of Client Services.
- Manage client communication initiatives, such as sending birthday cards, personalized life event messages, or special gifts (e.g., retirement gifts, sympathy flowers), under the supervision of the Director of Client Services.
Team Collaboration:
- Provide support to Independent Financial Advisors, assisting with documentation, record-keeping, and paperwork, in collaboration with the Director of Client Services.
- Assist the Office Manager/Client Service Director with tasks and other administrative projects, as directed by the Director of Client Services.
- Collaborate with the Marketing/Events Manager on event planning, mailing list coordination, RSVP management, and other marketing tasks, ensuring alignment with priorities set by the Director of Client Services.
Additional Responsibilities:
- Act as a flexible resource for one-off tasks or special projects as assigned by the Director of Client Services.
- Stay proactive in identifying opportunities to improve client service and office efficiency, discussing ideas with the Director of Client Services.
Qualifications:
- Education: High school diploma or equivalent required; an associate's or bachelor's degree in a related field is a plus.
- Experience: 1–3 years of customer service, administrative, or office support experience, preferably in financial services or a professional office setting.
- Skills:
- Exceptional communication and interpersonal skills.
- Strong organizational abilities and attention to detail.
- Proficiency in CRM software, Microsoft Office Suite, and general office technology.
- Ability to multitask and prioritize in a fast-paced environment.
