Position Overview
We are seeking a highly motivated and organized Administrative Assistant to support our clinic’s daily operations. This role is essential in creating a welcoming environment for our patients, families, and staff while ensuring smooth administrative functions. Key Responsibilities
- Greet and assist visitors, ensuring a friendly and professional atmosphere.
- Answer and direct phone calls, take messages, and handle inquiries.
- Perform general clerical duties, including photocopying, faxing, mailing, and filing.
- Maintain electronic and hard-copy filing systems.
- Handle sensitive information with discretion and confidentiality.
- Prepare written correspondence and responses to routine inquiries.
- Sort and distribute incoming mail and correspondence.
- Monitor office supplies as needed.
- Coordinate maintenance and servicing of office equipment.
- Assist with housekeeping tasks to maintain a clean and organized workspace.
- Create and distribute a monthly newsletter.
- Support the clinical team with documentation during onboarding for new staff and patients.
- Assist leadership with additional administrative tasks as needed.
Qualifications & Skills
- Strong written and verbal communication skills.
- Excellent organizational and time-management abilities.
- Attention to detail and accuracy in all tasks.
- Adaptability and ability to work both independently and within a team.
- Strong customer service and interpersonal skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- High school diploma or equivalent required
