About the Position
The Receptionist/Phone Operator is a key part of our administrative team, responsible for answering and managing the multi-line phone system at HOPE. This position serves as the first point of contact for callers, ensuring all incoming calls are directed to the appropriate departments or staff members. This role also involves providing a welcoming experience for visitors, supporting administrative tasks, and maintaining a professional, organized front desk environment. This is an excellent opportunity for someone who thrives in a fast-paced, client-focused setting.
Schedule
Monday - Friday
8 am - 5 pm
Essential Duties and Responsibilities
Operate a multi-line telephone system, route calls, and take accurate messages.
- Greet visitors, determine the nature of their business, and direct them accordingly.
- Perform data entry functions in the accounts receivable system and ensure accuracy of source documents.
- Adhere to agency policies, confidentiality regulations, and standards.
- Prepare superbills from appointment schedules or daily service sheets.
- Collect service fees and issue receipts in compliance with procedures.
- Schedule appointments and answer general inquiries.
- Provide administrative support, including verifying data accuracy and coding service sheets.
- Promote a welcoming, trauma-informed, and recovery-focused environment for all individuals.
- Travel may be required; mileage reimbursement provided per agency policy.
Requirements
- High school diploma or GED; additional relevant experience or education is preferred.
- One to three years of related experience or training.
- Must obtain and maintain First Aid and CPR certification.
