Job Summary Statement
The Talent Acquisition Specialist is responsible for supporting the Talent Acquisition team by ensuring a seamless recruitment process, managing candidate communications, and maintaining accurate records. This role plays a critical part in the hiring lifecycle, including scheduling interviews, managing background checks, and coordinating onboarding logistics, with a focus on attention to detail and accountability, the Talent Acquisition Specialist ensures that all hiring processes align with organizational goals and compliance standards.
Responsibilities
- Post job requisitions within the Applicant Tracking System (ATS) and monitor applications.
- Schedule interviews and coordinate candidate communications, ensuring a positive experience for all stakeholders.
- Screen resumes and applications to shortlist candidates that meet role requirements.
- Conduct initial phone screenings and participate in interviews as needed.
- Collaborate with hiring managers to understand the skills and competencies required for open positions.
- Continuously update and maintain the ATS to ensure accurate and organized candidate data.
- Disposition applicants in the ATS promptly and accurately.
- Manage electronic Offer, Promotion, and Transfer Folders, ensuring all necessary documentation is included and organized, such as offer letters, compensation analysis, and background check results.
- Submit and monitor required testing for new hires, including background checks, drug screens, and hands-on assessments, following up to ensure timely completion.
- Coordinate with IT to arrange equipment and access for new hires.
- Notify benefits and payroll teams of new hire start dates and ensure timely communication of expectations with new hires and managers.
- Actively respond to employee and manager inquiries, providing timely and accurate support.
- Assist with the onboarding of employees from newly acquired businesses.
- Assist with University and Technical recruitment programs and events as needed
- Monitor compliance with federal, state, and local regulations to ensure HR activities remain lawful and up to date.
- Participate in cross-functional HR projects and initiatives as assigned.
- Prepare and submit Personnel Action Forms (PAFs) to process approved changes in HR systems.
- Provide general administrative support to the HR team as needed.
Required Skills & Abilities
- Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously.
- Experience with high-volume recruitment
- Excellent attention to detail, ensuring accuracy in documentation and processes.
- Proficiency in using Applicant Tracking Systems (ATS) and other HR technologies. Success Factors experience preferred.
- Effective communication skills, both written and verbal, with a focus on professionalism and clarity.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills and the ability to build positive relationships with candidates, employees, and managers.
- Basic understanding of recruitment processes, and compliance regulations.
- Problem-solving skills and adaptability in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Education & Experience
- Bachelor’s degree in Human Resources, Business Administration, or related field with 2-4 years of experience in Recruiting, Talent Acquisition, or Human Resources
- Associate’s Degree or some college coursework with 3-5 years of Recruiting, Talent Acquisition, or Human Resources experience
- Experience with Applicant Tracking Systems (ATS) and HR Software (e.g., Workday, Greenhouse, LinkedIn Recruiter) Succes Factors preferred.
- Experience with full-cycle recruiting including sourcing, interviewing, and hiring.
- Experience with Utilities or Energy sector a plus
- Experience with bargaining unit hiring a plus
- Preferred Certifications: PHR, SHRM-CP or AIRS
