The Position
HOPE is seeking a highly organized and detail-oriented Special Events Assistant to join our team on a temporary, part-time basis, working no more than 30 hours a week. This role will report to the Manager of Philanthropic Engagement on the Development Team, working out of HOPEs Downtown Brooklyn location at 1 Smith Street at least three days a week. The person in this position will play a key part in supporting the smooth planning and execution of two signature events: Humor for HOPE on February 12, 2025 and our 40th Anniversary Gala on April 29, 2025. The ideal candidate will balance a focus on event-related communications with administrative and logistical support, in preparation of events and to ensure they run smoothly.
Responsibilities
- Draft and distribute event communications, including e-blasts, personalized emails, internal and external updates, attendee reminders, and post-event follow-ups.
- Design and create event materials, announcements, and other promotional materials using Canva.
- Prepare and maintain content for event webpages and coordinate messaging across platforms such as email, social media, and event websites.
- Support preparation and event day logistics details for event participants, vendors, and other stakeholders.
- Research and conduct outreach to potential donors and sponsors for raffle and auction contributions. Coordinating the collection of and tracking, ensuring proper documentation.
- Provide administrative assistance and collaborate with the Development team to ensure all event logistics and communications run according to timeline.
- Provide hands-on support during events, including setup, check-in, and troubleshooting.
- As needed and in collaboration with the Development Associate, track incoming donations, RSVP information, online registrations, and event revenues.
Minimum Qualifications
- Bachelors degree and prior experience in event planning, logistics, or communications preferred.
- Exceptional organizational skills with the ability to manage multiple tasks and priorities simultaneously.
- Strong written and verbal communication skills, with experience crafting professional emails, marketing content, and digital communications.
- High attention to detail and ability to work effectively under tight deadlines.
- Proficiency in Microsoft Office, particularly Excel, with experience in fundraising or event planning databases preferred.
- Familiarity with Canva or similar tools for creating marketing and event materials.
- Previous experience coordinating logistics with multiple stakeholders.
Salary/Benefits
The hourly range for this position is $18 to $25, and is dependent upon experience.
