WHAT WE ARE LOOKING FOR
Clinical operational leader who is responsible for day-to-day operations, team management, and the delivery of high-quality therapeutic services. Responsible for all programmatic, operational, and financial outcomes and for creating an operational framework to ensure the meeting of strategic goals. Oversees the assignment of referrals, accurate documentation of services and school contracts, and provides direct oversight of Discipline Leads, Billing and Administrative Office Staff and Clinical staff. Cultivates business relationships and actively pursues new business relationships and contracts to achieve growth and greater community impact. Responsible for establishing brand awareness and supporting the organization’s mission and values. The Clinical Manager is a part of Hope’s Senior Leadership team.
WHAT YOU WILL DO
- Operations and Operational Planning: 60%
- In collaboration with others, develop strategic priorities and goals for the division’s clinics, including planning for growth, market expansion and expansion of service offerings
- Creates and maintains contractual relationships with local school districts or other stakeholders where clinicians can be placed
- Oversee the client referral process in collaboration with intake personnel. Assigns therapists to clients/schools based on region and payor source
- Closely monitors division’s KPIs and uses data to make operational decisions
- Works to prevent revenue from dropping off during the summer months by ensuring balanced caseloads
- Champions the team’s use of the practice management platform for time reporting and clinical documentation. Develop documentation templates as necessary
- Responsible for the hiring process by acting as the hiring manager to make and schedule interviews, conduct interviews and extend offers to potential hires.
- Along with executive staff members, recruits new business contracts through a variety of approaches. Makes phone calls to prospective businesses, makes site visits to distribute information on services, and sends follow-up emails to prospective customers. Approves contracts and obtains signatures for new business
- Maintains frequent contact with current contracts, including at least one site visit per contract per year
- Communicate with contracts at least one month prior to the end of the school year to obtain Extended School Year (ESY) and business for the upcoming school year
- Ensure contracts are in place for all services and that clinicians are upholding all contractual obligations
- Supports close relationships with parents/caregivers, DMH service coordinators and schools; Fields questions or concerns
- Works in partnership with the billing team for timely billing for school contract services and insurance reimbursed services
- Design and implement new process and procedure, as needed; Continuously evaluate current process and procedure for improvement
- Oversees payroll processes
- Reports data on referrals, contracts, and current services to executive team.
- Provides community trainings
- Rally behind organizational initiatives, engage in change management strategies, and support all employees in adopting all organizational initiatives
- Team Management: 40%
- Onboards new hires and provides new team members with a comprehensive onboarding experience
- Serves as an ongoing mentor to disciplines in the absence of a discipline lead
- Demonstrates excellence in creating and maintaining supervisor/supervisee relationships
- Provides training on TRH policies and procedures. Ensures enrollment with payors.
- Maintains frequent contact with TRH therapists; Provides coaching and feedback as necessary and completes annual performance evaluations
- Host trainings and quarterly All Staff meetings
- Cultivate a best practice environment in which employees are focused on the delivery of high-quality services and best outcomes for clients. This also includes customer care and speed to service for those who are seeking therapeutic services
- Handle sensitive employee relation issues with integrity, either individually or with the assistance of Human Resources
- Travel, at least quarterly, to all sites and to headquarters
- Performs all other duties as required or assigned
- Provides direct therapy, as needed
- Assumes the responsibility of a mandated reporter concerning incidents of alleged abuse and neglect, as outlined by state guidelines and in accordance with the organization’s policies
- Attends Hope meetings and events as required
WHAT YOU WILL BRING
- Minimum of a bachelor’s degree in a related clinical field; Master’s degree preferred
- At least 3 years of experience in a supervisory role
- Clinic-based experience preferred
- Employee must be able to work independently
- Demonstrates excellent verbal and written communication.
- Employee must be able to work collaboratively within their department, but also across other departments
- Demonstrates problem solving and flexibility in difficult situations and reliably use good judgement to solve problems; Employee will work swiftly to solve any arising issues and bring any significant issues to the attention of their supervisor or other leadership promptly

WORK ENVIRONMENT
The Program Manager may be subject to prolonged periods of sit-down work at a desk and working on a computer as well as prolonged periods of sitting while traveling, walking, or standing with clientsand providers both indoors as well as traversing outdoors when applicable. This position and work involve traveling to various work sites as needed; must be able to lift, push, pull and carry a minimum of 50 pounds at a time; requires supporting clients and/or adaptive equipment; willingness and ability to make quick body movements and the ability to assume and maintain a variety of postures for extended periods of time such as: kneeling, crouching, crawling, stooping, sitting, standing, walking, grasping and running; the ability to bend, twist or stoop on a repetitive or continuous basis, the ability to use one’s hands to handle, control or feel objects and will require the visual acuity to see the details of screens or objects that are more than a few feet away. Requires the ability to operate various business instruments including computer, tablet, iPad, copier, or fax machine requiring manual dexterity as well as the ability to use de-escalation techniques including but not limited to physical restraint in accordance with Hope’s policies.Work is primarily performed in an indoor office environment or in the community at various agencies and/or schools/clinics; works very near others, within a few feet or less; involves close contact with individuals or clients; potential exposure to loud sounds and high noise levels intermittently. The work may include significant usage of a motor vehicle as well as maintenance of an active, state-approved driver’s license; Work may require flexible hours, outside of normal business hours.
