Intake Specialist
Salary Range: $38,000- $40,000
SUMMARY:
The Intake Specialist is responsible for managing the initial point of contact for patients and families seeking services at our clinic. This includes gathering and processing patient information, verifying insurance details, scheduling appointments, and ensuring a smooth transition for patients from intake to therapy services. The ideal candidate will have excellent customer service skills, a detail-oriented approach, and a passion for helping patients receive the care they need.
WHAT YOU WILL DO:
- Patient Intake & Documentation:
- Greet and assist new and existing patients by phone, email, or in person.
- Collect and verify patient demographic and insurance information.
- Obtain necessary medical records and referral documents as required.
- Ensure all intake forms are completed accurately and in a timely manner.
- Enter and update patient information into the electronic health record (EHR) system.
- Insurance Verification:
- Verify patient insurance eligibility and benefits.
- Inform patients of any co-pays, deductibles, and out-of-pocket expenses related to their therapy services.
- Coordinate with insurance providers to confirm coverage for speech therapy, physical therapy, and occupational therapy services.
- Appointment Scheduling:
- Schedule initial assessments and follow-up therapy appointments based on patient needs and provider availability.
- Confirm appointments with patients and send reminders to reduce no-shows.
- Assist patients in rescheduling or canceling appointments as needed.
- Customer Service & Communication:
- Provide outstanding customer service by addressing patient inquiries, concerns, and needs in a professional and friendly manner.
- Serve as a liaison between patients, therapists, and insurance companies to ensure the best care experience.
- Maintain clear and empathetic communication with patients throughout the intake process.
- Compliance & Confidentiality:
- Ensure all patient information is kept confidential and in compliance with HIPAA regulations.
- Assumes responsibility as a mandated reporter concerning incidents of purported abuse/neglect of patients as outlined in agency’s policies and procedures.
- Follow all clinic policies and procedures related to patient intake and documentation.
- Other Duties:
- Assist with administrative tasks, such as filing, faxing, and copying, as needed.
- Collaborate with the clinical team to ensure efficient patient flow and care coordination.
- Participate in ongoing training and development to stay up-to-date with industry standards and clinic procedures.
WHAT YOU WILL BRING:
- High school diploma or equivalent required; Associate's degree or higher preferred.
- Previous experience in a healthcare setting (preferably in a therapy clinic) is a plus.
- Knowledge of insurance verification, medical billing, and healthcare terminology.
- Familiarity with Electronic Health Record (EHR) systems.
- Strong communication skills, both written and verbal.
- Excellent organizational skills with the ability to multitask and manage time effectively.
- Attention to detail and accuracy in handling patient information.
- Empathy and professionalism when interacting with patients.
Physical Demands:
- Ability to sit or stand for extended periods.
- Occasional lifting of office supplies or patient records.
Work Environment:
- Fast-paced, office setting.
