Role Description:
The Executive Assistant will be a trusted partner to the CEO and executive leadership team, ensuring their schedules, priorities, and communications run smoothly. This individual will manage a variety of administrative and operational tasks, acting as a key point of contact for internal and external stakeholders. The ideal candidate is a self-starter with exceptional organizational skills, the ability to manage multiple priorities, and a strong understanding of start-up dynamics.
Key Responsibilities:
- Executive Support
- Manage and optimize the CEO’s calendar, including scheduling meetings, resolving conflicts, and prioritizing tasks.
- Prepare agendas, briefings, and meeting materials; take detailed minutes and follow up on action items.
- Handle travel arrangements, including booking flights, accommodations, and preparing itineraries.
- Serve as a gatekeeper, screening calls, emails, and meeting requests to ensure efficient use of the CEO’s time.
- Administrative and Operational Support
- Assist in preparing presentations, reports, and other documents for internal and external audiences.
- Coordinate and manage communication between the executive team and other departments.
- Maintain an organized filing system for important company documents and records.
- Support special projects, including research, vendor management, and cross-functional initiatives.
- Event and Meeting Coordination
- Plan and organize company events, team off-sites, and executive meetings.
- Manage logistics for investor meetings, board meetings, and external presentations.
- Ensure meeting rooms and technology are set up and functioning properly.
- Stakeholder Relations
- Act as a liaison between the CEO and key stakeholders, including investors, board members, and clients.
- Build and maintain relationships with internal team members and external partners.
- Confidentiality and Discretion
- Handle sensitive information with the utmost confidentiality and professionalism.
- Exercise sound judgment in decision-making and problem-solving.
Qualifications:
- Required:
- Bachelor’s degree or equivalent experience.
- 3 years of experience as an Executive Assistant, preferably supporting C-level executives in a start-up or fast-paced environment.
- Exceptional organizational and time management skills, with the ability to multitask and prioritize.
- Excellent verbal and written communication skills.
- Strong proficiency in productivity tools (e.g., Google Workspace, Microsoft Office, Zoom, Slack, Asana).
- High level of professionalism, discretion, and attention to detail.
- Preferred:
- Experience in the med tech, healthcare, or technology industry.
- Familiarity with start-up environments and a willingness to adapt to changing priorities.
- Strong problem-solving skills and a proactive approach to challenges.
- Excellent problem-solving skills and the ability to work independently as well as part of a team.
- Strong communication skills, with the ability to articulate technical concepts to non-technical stakeholders.
