Role Summary:
The Trust Administrator is responsible for administering or assisting in the day-to-day administration of trusts, under the direction of the Trust Administration Manager, in accordance with sound practices and compliance of the department.
Principal Duties and Responsibilities:
- Review and analyze documents for purposes of accepting new accounts and assembling a recommendation to the trust committee for account approval or for various discretionary distribution requests from the trust/estate.
- Able to work with auditors, both internally and externally, to facilitate any required examinations of accounts.
- Responsible for the oversight of the cash and payment of all trust bills and compliance with trust documents for assigned accounts.
- Build relationships with attorneys, investment advisors, accountants, service providers, and beneficiaries regarding various trust administrations and act as a liaison between them.
- Monitor trust accounts on an initial and annual basis, including investments to ensure compliance to investment policy statements. Work with Investment advisors to ensure compliance and accuracy.
- Assist with trust and estate settlement matters for purposes of having dual presence at homes or oversee trust property.
- Handle and communicate special projects or additional responsibilities as assigned from time to time.
- Enthusiastically support the bank sales function by providing exceptional service to internal and external customers of the bank.
- Establish and maintain policies and procedures as they relate to trusts.
- Provide counsel regarding various alternatives based on the customer's financial objectives and experience. Assist with estate planning.
- Professionally handle customer and employee inquiries that require in-person, telephone, or email responses and maintain confidentiality of customer account information by following established policies and procedures.
- Coordinate the operational capabilities and other capabilities needed to support trust products and services; ensure up to date compliance.
Additional Duties and Responsibilities:
- Update knowledge and develop professionally on a continuing basis. Participate in internal and external training and development opportunities as required.
- Perform other duties as may be necessary to fulfill the responsibilities of this role.
Knowledge, Skills, and Abilities:
- Bachelor of Business or related degree or equivalent and a minimum of five years of previous related experience required. Paralegal background would be considered.
- Strong interpersonal skills and very detailed oriented.
- Knowledge of trust administration process including general investment concepts, asset allocation, trust tax and legal documents.
- Knowledge of financial and legal management principles in order to assist with the trust administration responsibility.
- Approximately three to five years of progressively responsible related work experience necessary in order to gain the expertise needed to manage complex financial, legal and banking relationships in a professional environment.
- The ability to communicate in a clear and professional manner with a diverse of group attorneys, investment advisors, accountants, colleagues and bank partners, and provide information and "customer service" with ordinary courtesy and tact; and to demonstrate integrity in personal and fiduciary matters.
- Computer literacy including experience with Office Suite, MS Word, Excel, PowerPoint, and other computer software products.
- Ability to prioritize a diversified workload, handle multiple tasks concurrently; exercise good judgment in all areas of responsibility; and work effectively under pressure and deadlines.
- Strong verbal and written communication required, including reports, presentations, and group facilitation skills.
- Time management and planning skills with focus on organization, accuracy and attention to detail; ability to manage assigned projects under minimal supervision.

Working Conditions:
Work is performed in a pleasant office environment with minimal chance for personal injury. Frequent mental concentration is necessary for listening and responding to various situations. Must be able to lift and move up to 20 pounds unassisted. Some twisting, bending, and turning is required. Work hours are generally during normal business hours and average at least 40 hours a week. Some unscheduled evening and weekend work may be required. Occasional out-of-town and overnight business travel is required. Travel to branches and private homes may also be necessary.
