Summary : The Executive administration Assistant provides high-level support to the President, and Vice President of HR. This role is essential for streamlining operations, managing calendars, facilitating communication with key external partners, and supporting HR functions. The assistant will function as a gatekeeper for the president, serve as the representative of the organized organization's brand and assist with senior leadership and board meetings this position will also support recruitment onboarding benefit administration and organizational instructional management.
Essential Functions :
Executive Support :
- Manage complex calendars for president, schedule meetings, travel, and events. Coordinate all internal and external President meetings. Process all expenses in a timely manner.
- Prioritize and filter incoming communications, acting as a gatekeeper to protect the time and focus of the president. Draft proofread and manage correspondence and reports for both the president & VP HR. Serve as primary point of contact for the president with internal and external stakeholders.
- Develop PPT and gather information or inputs from various senior team or other management employees to support President meetings. This includes LRP, AOP and other PPT Senior level needs. Assist with Townhall meeting PPT.
- Point of contact for President and Corporate Executive Assistants
- Assist in the coordination of programs / events by arranging for facilities and caterer, distributing information or invitations, coordinating speakers, and helping manage budget.
- Responsible for all legal contracts going into Corporate legal. Facilitate with urgency all CDAs, NDAs, and legal contracts for Applegate. Responsible for the full legal process from submission through approvals. Initiates the training of contract process with staff.

The base pay is one part of our total compensation package and is determined within a range. The base hiring pay range for this role is between $24.75 - $34.75 per hour, and your actual base pay within that range will depend upon a variety of factors including, but not limited to, job-related knowledge, skill set, level of experience, and geographic market location.
