Job Summary:
The Inside Sales Aide supports the technical, customer service and sales teams by processing and procuring special
product orders, maintaining data accuracy in SAP and CRM systems, and ensuring timely communication across
departments. This role is essential in supporting the sales process from quotation to delivery, particularly for custom
tooling and trial orders.
Responsibilities
• Process and manage first-time orders for special-order products, including part number creation, material setup,
and managing the drawing approval process.
• Create and maintain material records in SAP to ensure data accuracy, consistency, and support ongoing system
cleanup initiatives.
• Manage outstanding design approval requests with customers to ensure timely responses and prevent delays
caused by stale or overdue approvals.
• Collect, organize and store special-order product details required for issuing accurate purchase orders to
vendors.
• Handle trial orders, including returns and reporting, ensuring all trial activity is accurately tracked and
documented.
• Provide updated quotations and pricing for both standard and special-order products.
• Create and maintain accurate records in SAP and CRM systems related to orders, quotations, and product setup.
• Ensure timely data entry and updates to support efficient processing and reporting.
• Communicate effectively with internal departments including technical, customer service, purchasing, sales and
global partners (including Paul Horn GmbH) to ensure order fulfillment and customer satisfaction.
• Support customers with order status updates, shipping timelines, and follow-ups as needed.
• Assist with expediting orders when necessary, by coordinating with internal and external teams.
Qualifications
• High School Diploma or equivalent.
• Experience with SAP and/or CRM systems is preferred.
• Strong attention to detail and ability to manage multiple priorities.
• Excellent communication skills—both written and verbal.
• Proactive mindset and ability to work collaboratively in a fast-paced environment.
• Proficiency in Microsoft® Office Suites, including Excel, Word, PowerPoint, Teams, Outlook, and Planner.
• Experience or ability to learn CRM, SAP and other support software within use throughout the company.
