Horne Brothers Communications, Inc. is currently seeking a Construction Coordinator to join our team in Fayetteville, NC. This position will be responsible for facilitating the efficient operation of the management team by performing a variety of clerical and administrative tasks.
Essential Duties and Responsibilities:
- Assist construction managers and other management as needed
- Build, update, and disseminate project trackers as required
- Send bid documents to subcontractors to bid; review bids thoroughly
- Finalize estimates and send to customers on the correct bid form
- Complete and submit required permits and/or licenses to necessary cities, counties, states, etc.
- Assign job numbers, notify accounting, track purchase orders and invoicing
- Set up job books and keep files neat, current, and easily accessible
- Assist with the permitting process as needed; complete permit applications
- Coordinate with assigned project manager to verify and order job-related material
- Assign purchase orders and schedule subcontractor crews as needed
- Review and file daily job reports for the duration of the project
- Keep job files neat and orderly; maintain electronic files on shared drive as instructed
- Coordinate with project managers, customers, and/or subcontractors to track jobs from start to finish, review/approve invoices and assign/balance P.O.s as required
- Take phone calls and answer email in a timely manner
- Respond to and resolve administrative inquiries
- Coordinate and schedule travel, meetings, and appointments for managers or supervisors
- Prepare agendas and schedules for meetings; schedule conference calls as needed
- Other projects and duties as assigned
Knowledge, Skills & Abilities:
- Three to five years of experience in an administrative role
- Permitting experience preferred
- Accurate and precise attention to detail
- Strong verbal and written communication skills
- Excellent interpersonal and customer service skills
- Proficient in Microsoft Office Suite and Adobe products; ability to learn new computer applications
- Excellent organizational skills, including multi-tasking and time management; must be able to prioritize
- Must have a strong work ethic and have the ability to work independently with minimal supervision
- Basic understanding of clerical procedures and systems such as record keeping and filing
- Willingness to learn and grow with the company
