Job Description: The Finance Manager plays a key role in managing the financial operations of the organization, with a strong focus on grant finance management, accounts receivable and accounts payable management, financial statement generation and analysis, cash flow projections, payroll processing, and maintaining accurate financial records. The ideal candidate will have experience in non-profit finance and working with payroll platforms. This role works closely with the Human Resources and Development teams to ensure the seamless operation of financial processes, while supporting grant fund management and budget maintenance.

Essential Responsibilities
Grant Finance Management:
- Assist with grant proposals by developing grant budgets in collaboration with the Development team.
- Manage the financial reporting and tracking of grant funds, ensuring compliance with funder guidelines and organizational policies.
- Track grant expenditures in the general ledger.
- Prepare all grant reimbursement requests and funder invoices and monitor payment status though receipt of funds.
- Prepare financial reports for funders and audits.
- Process vendor invoices and payments, ensuring accurate general ledger coding and timely disbursements.
- Manage the credit card purchasing process, ensuring reconciliation, and coding of monthly credit card reports, and ensuring staff compliance with provision of receipts.
- Analyze credit card purchases to identify trends and make recommendations for cost saving strategies.
- Ensure that the organization is not paying sales tax on all eligible purchases.
- Submit all necessary schedules to external accountants each month.
- Work with external accountants to resolve coding questions.
- Conduct revenue reconciliation meeting with Development team to ensure all gifts are coded accurately.
- Prepare monthly financial statements for review with CFAO and leadership team.
- Generate performance reports for all budget managers and monitor actual spending against budgeted amounts.
- Assist in the preparation and maintenance of organizational budgets and forecasts.
- Work with the Chief Finance and Administration Officer to monitor actual spending against budgeted amounts and report variances. Meet with budget managers regularly to identify significant variances and create class-level projections.
- Maintain the rolling 12-month cash flow projection.
- Ensure that all staff submit timecards, and all supervisors approve timecards in a timely manner.
- Process payroll on a semi-monthly basis using Insperity or a similar payroll platform.
- Ensure payroll accuracy, including deductions, taxes, benefits, and compliance with state and federal regulations.
- Handle payroll-related inquiries from staff and troubleshoot issues as they arise.
- Work closely with HR to ensure payroll processes align with employee compensation and benefits.
- Collaborate with the Development team to manage grant budgets, provide financial data for proposals, and ensure grant compliance.
- Support HR in reconciling payroll and benefit expenses with financial records.
- Ensure compliance with all internal financial policies and procedures, as well as local, state, and federal regulations.
- Prepare documentation for audits, including grant audits and financial audits, and assist in addressing auditor requests.
- Maintain organized and up-to-date financial records for all accounts and grant-related transactions.
- Bachelor’s degree in accounting, finance, or a related field, or equivalent experience.
- 3-5 years of experience in non-profit financial management, including grant management.
- Insperity payroll platform or similar payroll service.
- Strong knowledge of non-profit accounting principles, particularly in grant fund management and compliance.
- Proficiency in accounting software, payroll systems, and Microsoft Office (particularly Excel).
- Excellent analytical skills and attention to detail, with the ability to manage multiple priorities.
- Strong interpersonal and communication skills to work effectively with HR, Development, and other teams.
- Experience with accounts payable, receivable, and budget maintenance
