Office Assistant – Mental Health Practice

Hosea Counseling Services, LLC is a compassionate and client-centered mental health counseling practice dedicated to supporting individuals who have experienced trauma and difficult life events. We provide a holistic approach to therapy, including EMDR and Accelerated Resolution Therapy (ART). Our team is growing, and we are looking for an organized, detail-oriented Office Assistant to help our practice run smoothly and efficiently.
Job Overview:
We are seeking an Office Assistant to provide essential support to our office operations. This individual will be responsible for managing client communication, scheduling appointments, handling insurance claims, and ensuring the overall efficiency of the practice. The ideal candidate is proactive, organized, and comfortable working in a mental health setting.
Responsibilities:
- Greet and assist clients with professionalism and empathy.
- Answer phone calls, emails, and inquiries in a timely manner.
- Schedule and confirm client appointments.
- Verify insurance eligibility and submit insurance claims accurately.
- Maintain confidential client records in compliance with HIPAA regulations.
- Process payments and send invoices as needed.
- Assist with office organization and administrative tasks.
- Coordinate with therapists to ensure seamless scheduling and client care.
- Manage office supplies and maintain a professional work environment.
Qualifications:
- Previous experience as an administrative assistant, receptionist, or office manager (preferably in a healthcare or mental health setting).
- Proficiency with office software, including practice management systems and electronic health records.
- Knowledge of medical billing codes and insurance procedures (preferred).
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Basic understanding of mental health terminology (beneficial).
- Proficiency in Microsoft Office (Word, Excel, Outlook) and scheduling software.
- Ability to maintain strict confidentiality and professionalism.
- Familiarity with HIPAA compliance and mental health terminology is a plus.
- Comfortable working with diverse populations in a supportive environment.
