Job Summary: 

The HR Assistant will support the Human Resources department in daily operations, ensuring efficient and effective HR processes. This role involves assisting with recruitment, employee onboarding, record maintenance, compliance, and providing general administrative support. This individual will have excellent organizational and communication skills, the ability to multitask, familiarity with HR policies, labor laws, best practices, and a proactive approach to problem-solving.

Duties/ Responsibilities:

  • Assist in creating job descriptions and posting job advertisements on relevant platforms
  • Screen applications, schedule interviews, and coordinate with hiring managers for candidate assessments
  • Facilitate pre-employment checks, such as background verification and reference checks
  • Manage employee onboarding, including documentation, orientation, training coordination, and office tours.
  • Schedule candidate site visits, which includes booking flights, hotel rooms, and planning an itinerary. 
  • Maintain accurate and up-to-date employee records, including contracts, certifications, and attendance logs
  • Track and update employee licensure and certifications, ensuring compliance with clinic and contracting requirements
  • Ensure confidentiality and compliance in handling personnel files
  • Help administer employee benefits programs including health insurance 
  • Address employee queries related to payroll and benefits
  • Assist in updating and communicating HR policies and procedures
  • Act as a point of contact for employee inquiries and provide guidance on HR-related matters
  • Assist in organizing company events, wellness programs, and team-building activities
  • Support performance management processes, including appraisals and feedback collection
  • Coordinate with the clinic and contracting teams to address HR needs specific to each division
  • Adjust HR strategies to align with the operational demands of both the contracting and clinic environments
  • Other duties as assigned

 

Education/Certifications/Licenses

  • Education
    • High School Diploma or GED required
    • Associate’s or Bachelor’s Degree in Human Resources, Business Administration, Psychology, or related field is preferred

Experience

  • Experience as an HR intern or in an administrative role with exposure to HR tasks
  • Familiarity with basic HR functions, such as recruitment support, maintaining records, and handling employee documentation
  • Experience using office software (e.g., Microsoft Office Suite/Google Suite) and basic knowledge of HRIS or payroll systems
  • Experience supporting HR processes in a specific industry, such as contracting or healthcare is preferred
  • Exposure to HR needs in healthcare or clinic settings, such as managing certifications or healthcare compliance
  • Working knowledge of labor laws, workplace compliance, and HR policies

 

Required Skills/Abilities

  • Strong organizational and multitasking abilities to handle multiple HR tasks efficiently
  • Attention to detail for maintaining accurate records and ensuring compliance
  • Experience in maintaining and updating employee records
  • Ability to assist with job postings, screening resumes, and scheduling interviews
  • Familiarity with applicant tracking systems (ATS) is a plus
  • Strong written and verbal communication skills to interact with employees and management effectively
  • Strong relationship-building abilities to collaborate with employees and foster a positive work environment
  • Empathy and discretion when handling sensitive employee matters
  • Proactive in identifying and resolving HR-related issues
  • Ability to prioritize tasks and make sound decisions under pressure
  • Efficient in managing deadlines and coordinating multiple HR tasks simultaneously
  • Ability to adapt to changing priorities in a fast-paced environment, especially in industries like contracting and healthcare
  • Willingness to learn new tools, processes, or industry-specific HR requirements
