Job Summary

Supports and enhances the organizational mission through clinical secretarial support to the home hospice teams. Triages patient and provider calls, arranges care through contracted providers. Supports development of schedules for all nursing in home hospice, including weekend and holiday rotation and coverage for immediate needs. Provides clinical information to teams via routine and ad hoc reporting. Will provide clinical support with the daily operations and assistance of home hospice.

Essential Functions

Communication

  • Communicate effectively with organizational staff, physicians, patients, visitors, outside contracts and community agencies.
  • Assure you answer all incoming calls with courtesy and promptness.
  • Maintain a safe environment by utilizing and adhering to safe work policies and practices.
  • Maintain professional boundaries.

Scheduling

  • Assists in creating the schedule for all Home Hospice Nurses within established parameters.
  • Supports Management of time off (PTO) requests according to established parameters.
  • Manages the day-to-day scheduling, working to cover staffing vacancies due to FMLA, PTO and vacant positions.
  • Fax aide schedules to facilities and communicate schedules to volunteers who assist with calling patients to notify of upcoming schedules.

Clerical Support

  • Run AM clinical reports.
  • Complete Suncoast timesheet approvals.
  • Perform secretarial functions such as faxing, scanning, typing, copying as needed.
  • Manage death certificate errors (sending faxes from funeral homes to Providers in the office) and faxing back to funeral homes once signed.
  • Faxing patient medication lists to indicate coverage to outside pharmacies as requested.
  • Print out, have Provider sign new orders when we are the Attending in a PCH and fax to the PCH/facility Pharmacy.
  • Run PDMPs for ongoing orders.
  • Fax signed prescriptions to outside pharmacies (90-day supply of meds not covered by hospice) as directed by the team leaders.

Qualifications

High School graduate or educational equivalent with related administrative experience.

Strong skills in use of Excel, Outlook, Power Point, Zoom, Teams, and overall strong computer confidence

Ability to communicate verbally and in writing in the English language and able to work cooperatively with other staff. Must convey exceptional verbal communication abilities including professionalism, courtesy and a pleasant speaking voice that is clearly understood.

Able to operate and use multi-line telephone system. Also able to operate general office equipment that includes personal computer, fax machine, copier, calculator and folding machine.

Excellent organizational skills, attention to detail and flexibility in approach and work style.

Ability to work independently and take initiative.

Additional Qualifications

Ability to sit/stand for prolonged periods of time

Ability to reach to heights of 6 to 8 feet to file and retrieve documents

Able to lift up to 20 pounds and climb a small ladder or utilize a step stool.

Access to transportation; driver’s license and adequate auto insurance.
