The Executive Administrative Coordinator performs diversified and broad complex administrative and secretarial functions for the Organization.
Job Qualifications:
- High School Graduate or GED; College graduate preferred
- At least five years of broad administrative support experience
- Excellent software application mastery; Word, Excel, PowerPoint, Publisher, Visio, Adobe, etc.
- Affinity to learn computer applications
- Ability to juggle multiple tasks and demands, and judgment to adjust priorities
- Must be proactive; consistent in follow-through, have the ability to work under pressure and meet deadlines
- Excellent organizational and communication skills
- Demonstrates tact, poise, and leadership qualities,
- Excellent customer service skills
- Exhibit sensitivity and understanding in dealing with Hospice patients and families.
Physical Requirements:
- Frequently required to stand, walk, reach with hand and arms, stoop, kneel, twist, stretch, and crouch.
- Frequently required to walk and sit.
- Regularly required to use hands to handle and feel.
- Regularly required to speak and to hear.
- Occasionally lift and/or move up to 10 pounds.
- Specific vision abilities required by this job include close, distance, color, peripheral, depth perception, and ability to focus.

Essential Functions:
- Provides liaison between Pres/CEO, Board of Directors, Leadership and Staff and external contacts to include coordinating required meetings, scheduling and checking reports for accuracy and thoroughness, and ensuring that necessary information is timely and appropriately disseminated
- Responsible for coordinating the Pres/CEO calendar, scheduling meetings, composing correspondence, receiving and routing messages, answering inquiries, processing email, arranging travel, and coordinating appointments and schedules
- Creates charts and briefings; and assists in the preparation of presentations
- Manages meeting logistics including meeting space, catering, and reservations
- Records minutes of Board and Committee meetings
- Maintains detailed records and Corporate and Medical Staff documents
- Works closely with Leadership Team
- Assures discreet handling of all business matters, honors Hospice of East Texas' confidentiality policy
- Operates fax machine, copier, postage machine, etc.
- Provides assistance on switchboard as needed
- Assists in maintaining office equipment
- Complies with all HOET Policy and Procedures
- Performs all other duties as assigned
