Position Overview
The Administrative Assistant provides comprehensive administrative and clerical support to the Hospice of Humboldt team, ensuring smooth and efficient daily operations. This role involves handling incoming phone calls, serving as the first point-of-contact for visitors to the agency, and contributing to a positive and organized work environment.
Key Responsibilities
- Answer, screen and direct incoming telephone calls. Provide information to callers and deal effectively with sensitive and emotional situations.
- Greet visitors in a professional and welcoming manner, directing them to the appropriate staff members.
- Support various departments with administrative tasks, such as preparing documents and informational material, coordinating mailings and processing donations.
- Assist with data entry, record keeping and audits/surveys, ensuring accuracy and confidentiality.
- Maintain accurate records for mailing list, memorials, donations and bank deposits.
- Ensure daily organization and cleanliness of main lobby and common areas.
- Contribute to the development and implementation of administrative processes and procedures.
- Perform other related duties as assigned to support the overall functioning of the organization.
Qualifications
Required Education: High school diploma or equivalent
Required Experience: At least one year of experience providing administrative support in a professional setting.
Required Skills and Abilities:
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to work independently and as part of a team.
- Ability to multitask and prioritize tasks effectively.
- Strong attention to detail and accuracy.
- Ability to learn new software and procedures quickly.
- Excellent interpersonal skills and a professional demeanor.
- Valid driver's license and reliable transportation.
