What are the responsibilities and job description for the Administrative Assistance/Unit Coordinator position at HOSPICE OF THE GOLDEN ISLES?
BASIC FUNCTION:
Under the general direction of the Clinical Director and/or the Executive Director, the Unit Coordinator/ Administrative Assistant provides administrative services to the Hospice personnel in any manner needed to assure continuity of patient care.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Presents self over telephone and in person in a professional manner using proper etiquette.
• Greets and communicate effectively with all persons entering the facility, answers inquiries, directs and assists all visitors, staff, and physicians.
• Relay patient related information efficiently and effectively to appropriate staff members.
• Maintains the confidentiality for all patients and staff members.
• Display critical thinking skills to problem solve and manage patient and family issues according to Hospice Standards and HGI policies and procedures.
• Coordinates work to achieve maximum productivity and efficiency.
• Assures timely review of all emails and voice messages and responds as required
• Assists management team with inpatient care schedules as needed.
• Provides support to clinical staff to ensure efficient operation of the inpatient units.
• Access EMR to enter referrals and update patient information in the medical record.
• Inform Leadership of unusual, problematic patient/family issues.
• Reviews and maintains all required credentialing for current staff to ensure compliance with regulatory requirements.
• Communicates with the HGI staff as needed to collect items required for regulatory compliance.
• Scans and files all necessary paperwork needed to maintain employee files.
• Verifies the new hire/monthly OIG and GA exclusions lists.
• Participate in emergency disaster processes as defined by HGI policies.
• Demonstrates familiarity with HGI policies/procedures and adheres to state and federal regulatory requirements.
• Successfully complete the annually, required in-services as assigned.
• Attend regular staff meetings as scheduled
• Performs other duties assigned by supervisor.
QUALIFICATIONS: Must have a high school diploma or equivalent. Must have one (1) year reception/administrative duties in a health care setting as well as a working knowledge of phone and answering systems. Must have administrative, clerical and computer skills, some knowledge of medical terminology preferred. Must have good communication, organizational, and interpersonal skills. Must demonstrate a caring and helpful attitude. Requires proof of current CPR training, a valid driver’s license and auto insurance coverage.
