Hotel Brokers of America, is looking for an Executive Assistant to provide professional support to the top producing brokers in their Dallas office. Candidates must be extremely dependable, organized and detail-oriented. Additionally, the candidate must have exceptional follow-through, have the ability to work in a fast-paced environment, be highly motivated, possess exceptional computer skills, as well as written/verbal communication skills, business writing, and proofreading skills. The ability to multitask under pressure is a must.
Nature & Scope
The Candidate will be working in direct conjunction with the principal broker. The ability to manage, organize, and delegate tasks throughout the team is a must. The Candidate will also be responsible for screening calls, emails, and all incoming requests from clients, vendors, and team members. The Candidate will also be managing the brokers work and personal calendar, travel plans, and errands needed throughout the working week.
Primary Responsibilities
- Manage and coordinate calendar, as well as confirm daily appointments
- Analyze the profit and loss statements of hotels to evaluate the value of the asset. Must be able to analyze numbers and calculate profitability.
- Manage all property marketing systems used. Assist in preparing Marketing packages for the Sale of the hotel.
- Draft and prepare written communication to clients and team members
- Attend client and team meetings in order to provide 3rd eye feedback and requests missed by the team lead
- Provide written recaps to meetings attended sent to the parties involved in the meetings
- Manage and sort emails daily
- Screen incoming calls and requests
- Plan and coordinate team get togethers including but not limited to organizing the annual holiday party, preparing for annual hotel conferences, and social gatherings
- Prepare leads lists in order for the broker to prospect new business
- Gather Reports, aggregate then send out to the team lead on a weekly basis and alert team lead to any ongoing team issues, areas of concern, project updates and timeframes for completion.
Skills Required
- Experience in the commercial real estate industry
- Associates Degree Required
- Executive or Administrative Assistant experience required
- Must be tech savvy; Excellent computer skills including proficiency in Microsoft Applications to include Excel, and Word
- Ability to prioritize tasks and work efficiently under pressure
- High organization skills
- Service-oriented attitude and professional demeanor with great interpersonal skills
- Proactive, self-directed, ethical, and creative thinker who will contribute ideas
- Proven track record of being on time and dependable
- CRM database familiarity a bonus, but not necessary
- Eagerness for researching the local real estate market and assist in strategic planning
- High level of integrity
**Applicant must be able to travel and willing to attend conventions as required which are held primarily in Las Vegas / Houston / Los Angeles / Dallas / Atlanta.
