Job Summary
The Sales Coordinator works closely with Sales Managers, Front Desk, Accounting, Conference Services, and Revenue Management to ensure excellent customer service and the highest level of accuracy in bookings is always provided.
The role is predominantly responsible for creating and maintaining group room blocks, booking links and reservations to accommodate guests, and must ensure that clients are provided with required types of rooms, facilities, and services. The incumbent handles all group room reservations in a friendly and efficient manner to maximize room revenue and average rate according to Aimbridge Hospitality standards. This role plays a prominent role in improving the occupancy of the hotel by ensuring group rates and inventory are consistently monitored and updated as needed.
This role is also responsible for ensuring that the administrative functions for all Sales and Catering positions are handled and performing clerical and administrative duties relating to hotel communications with various departments and throughout the sales team.
Occasional light selling duties with prequalification responsibilities are required, and some conference services duties for small group related functions may be assigned.
The position will report directly to the Director of Sales and Marketing with a dotted line to the Director of Conference Services.
Education & Experience
· High School graduate or G.E.D. equivalent.
· Six months hotel reservations or front desk experience in the hospitality industry is preferred.
· Knowledge of Outlook, MS Word, and Excel required.
· Experience with Group Sales computer systems including Sales Force / Delphi, OnQ and R I reservations experience preferred.
· Occasional overtime work required to meet deadlines.
· Capable of using multiple systems at the same time.
· Self-starter, results-oriented, team player, and demonstrates a high-level attention to detail.
· Flexibility and adaptability to a dynamic, evolving work environment.
· Must be able to convey information and ideas clearly.

Job Duties & Functions
· Approaches all encounters with guests and associates in an attentive, friendly, courteous, and service- oriented manner.
· Answers phones; qualifies incoming inquiry calls and ensures all inquiries are dealt with accurately, timely and in a professional manner.
· Keep updated files on all upcoming group room blocks upon receipt of turnover.
· Ensure accuracy between the Delphi and PMS systems (room blocks, rates, cutoffs).
· Detail each Group profile and/or reservation with Group specific information (rate, rate codes, deposits, location requests, package inclusions, contract concessions, etc.)
· Build rates and inclusive packages specific to each Group (create routing profiles, deposit policies, cancellation policies, etc.).
· Process travel agent commissions.
· Act as liaison between the sales and services team and other hotel departments.
· Input group rooming list and facilitate all rooming list changes and billing changes upon receipt.
· Manually assign specific accommodations based upon feature and/or location requests.
· Provide reservation and pick up reports upon request.
· Review no shows from previous night and make corrections as needed.
· Assist accounting in verifying and correcting group guest’s folios and final billing.
· Distributes BEO’s, Changes, Rooming Lists, Signed Contracts, Revisions, etc. to appropriate departments as it relates to meeting and groups.
· Communicate effectively with Front Desk team, Revenue team, Sales Managers, and Conference Services/Banquets teams.
· Performs other duties and attends meetings, as assigned by hotel/department leadership.
· Organizes in house deliveries, amenities, welcome letters, transportation schedules, etc. as needed.
