Position Summary:
Westchester Reform Temple seeks a friendly, outgoing, highly organized, “first face / first voice” to represent our Temple to the community. Available immediately, this person operates in a busy environment which requires the ability to communicate effectively and respectfully with clergy, professionals, volunteers, congregants, guests, and coworkers.
The responsibilities of this position include, but are not limited to:
- Answer phone calls and emails to the Temple with hospitality and warmth
- Welcome visitors and provide the highest level of service
- Prepare and post daily schedule of events on electronic message boards
- Update telephone directories, record outgoing messages for daily and holiday schedules, update clergy on-call schedule
- Assist with administrative tasks including mailings, mail merges, RSVPs for events and classes, record-keeping, name tag preparation for services and events
- Assist with clerical tasks such as photocopies and faxes, prepare outbound mailings, manage incoming mail and packages, coordinate with shipping vendors as needed
- Order office supplies, books and other special items for events
- Assist in preparing packets and materials for classes, activities, and events
- Manage supplies, postage funds, and maintenance calls for office machines - copiers, printers, postage, fax, and folding machines
- Assist with administrative support for senior staff and clergy
- Provide administrative support in preparing for weekly services, Bar/Bat Mitzvah and other life-cycle services, and High Holiday services
- Assist with Membership and High Holiday service inquiries
- Provide support for Temple events and volunteer-run events
- Prepare letters for signature and emails for new members, life cycle events, donations, and other needs
- Assist with preparing temple announcements
- Assist with database information entry and maintenance
- Greet guests for Friday night services and other special events
The ideal applicant for this position will demonstrate the following qualifications:
- College graduate, preferably with previous administrative support or customer service experience
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite and Google Workspace; knowledge of Salesforce and Constant Contact a plus
- Experience with mail merges and letter preparation.
- Driven to follow through and ensure that a congregant or supervisor is fully satisfied
- Strong attention to detail, high level of accuracy, organized
- Pleasant disposition, friendly, always professional; compassionate and patient
- Works seamlessly with others as part of a team
- Comfortable working under pressure in a busy environment; excellent at multitasking
- Accepts direction well, unafraid to ask for help
- Technical experience with some / all of the following a plus:
o Telephone systems
o Calendar and facilities management software
o Databases - data entry, report queries
Salary Range: $18 - $23 per hour, depending on credentials and experience.
September-June Hours: Sundays 8:30 AM-12:30 PM (when school is in session); Tuesdays-Thursdays 1:00-6:00 PM; Fridays 1:00-6:30 PM; and flexibility based on calendar and special events.
July-August Hours: Weekdays 12:00-5:00 PM; Fridays 12:00-6:30 PM; no Sunday hours.
