What are the responsibilities and job description for the Inventory Coordinator position at HouseMart?
SUMMARY: Responsible for all elements of inventory management and control. Ensures physical inventory reflects data from POS system. Teaches and enforces inventory maintenance best practices amongst associates.
ESSENTIAL FUNCTIONS:
- Helps to ensure sales goals are obtained by welcoming customers and ensuring they have what they are looking for, while promoting better alternatives (up selling), sale items and other relevant products to assist them with their projects.
- Cultivates customer’s good will and encourages repeat business
- Coaches all store staff on inventory management best practices as they apply to each employee’s job. Performs, assists and monitors store’s execution of best practices
- Helps oversee and actively participates in preparation and execution of annual store inventory audit
- Ensures completion of zero counts and prompt corrections of daily negative counts
- Verifies inventory levels on-hand through cycle counts using the RF terminal
- Oversees that all information for SKUs and merchandise is accurate and correctly inputted in POS.

- Reviews and recommends processes for accurate receiving, stocking and recovery.
- Accurately and in a timely manner reports items that are considered damaged, stolen, used in-store or promotional.
- Analyzes inventory management reports and investigates discrepancies
- Key punches EAGLE perpetual maintenance files and accurately generates EAGLE reports as needed
- Updates store map and location codes
- Reviews and monitors purchase orders for all non-Ace merchandise.
- Verifies if all products, bins, shelves, peg hooks, etc., have a bin label, valid location code, and valid UPC number
- Is aware of potential security, safety and/or shoplifting issues and reports any incidents and/or concerns immediately to management. Recommends ways to reduce theft and breakage in store.
- Follows company policies and procedures as described in BFS, Inc. Policies and Procedures Manual
- Able to report to work as scheduled. Demonstrates regular and reliable attendance. Attends and participates in training sessions and monthly store meetings as required. Safety and security
- Work in a safe manner to protect yourself, your co-workers and others who may be affected by your actions.
- Work together on exercising prevention methods to minimize injury or loss. Suggest solutions to mitigate hazards.
OTHER FUNCTIONS:
- Receives and checks incoming merchandise against POs to spot shortages, damages, and backorders. Prepares and completes all related paperwork.
- Prepares “inter-store transfers”, “returns to vendor”, and “special orders” as needed.
- Performs general housekeeping duties (i.e. up keeps a professional appearance of the office, store’s floors, fixtures, restrooms, employee lounge, etc.) Performs general maintenance of the store’s premises (i.e. store entrance, parking lot, receiving, etc.)
- Orders and receives store supplies as directed.
- Ensures daily cash counting and reporting are completed in a timely manner. Daily Bank Deposits are balanced and deposited and change fund is stocked.
- Ensures all payable invoices and AR paperwork is accurate and promptly sent to Head Office.
- Promptly and accurately performs any other related duties as assigned by store management including performing related duties of a Cashier, Sales Associate, and/or Receiver.
WORKING CONDITIONS:
Equipment/Tools Used: Frequent use of various general office equipment such as computers, printers, fax machines, 10-key by touch, shredders, calculators, telephones, two-way radios, headsets, RF Unit, cash register, POS system.
Work Hours: Available flexible hours as needed (including days, nights, weekends, and holidays).
Work Environment: Works under regular store conditions. Occasional exposure to heat, dust, solvents, chemicals, paint, glues, etc.
SKILLS, KNOWLEDGE & ABILITIES:
- Knowledge of inventory maintenance best practices to oversee perpetual maintenance
- Knowledge of Point-of-Sale system (EAGLE) to analyze inventory maintenance reports
- Ability to coach and train associates in operational best practices
- Requires attention to detail, concentration and alertness in counting and data analysis
- Basic mathematical skills (i.e. calculation of fractions, percentages, pricing, discounts, taxes, returns, charges, making change, taking inventory, ordering, verification of quantities, etc.)
- Ability to work under pressure, demonstrate effective decision-making, and ability to exercise sound judgment. Skill in managing time and setting priorities reflecting importance of responsibilities.
- Ability to perform multiple tasks at the same time.
- Ability to handle confidential information as outlined in the Employee Handbook (i.e. store keys, company documents, pay issues, sales figures, sales plans, employee’s payroll etc.)
- Ability to establish and maintain cooperative working relationships with all levels of store staff
- Ability to functionally use computers; working knowledge of MS Office, the internet and email.
PHYSICAL DEMANDS:
- Occasional push, pull, and/or lift up to 60 lbs. of materials, including lifting and maneuvering up to 100 lbs. of merchandise using a hand truck, cart, dolly, etc.
- Ability to stand, sit and/or walk for durations up to 8 hours at a time.
- Occasional reaching, twisting, turning, stooping, squatting, crouching, climbing of ladder, grasping and squeezing.
- Manual dexterity to operate cash register, computer, 10-key, calculator and misc. hand and/or power tools.
QUALIFICATION REQUIREMENTS:
- High School Diploma or equivalent
- Two to three years of retail experience minimum
