Summary:
The Administrative Assistant will:
- Provide administrative and operational support to the Executive Director.
- Support office operations to ensure smooth daily functioning.
- Coordinate communications, scheduling, and organizational data tracking.
- Contribute to a welcoming and collaborative environment.
Responsibilities:
Executive Support
- Maintain the Executive Director’s calendar, including scheduling meetings, appointments, and events.
- Prepare meeting agendas, presentations, letters and reports as needed.
- Handle correspondence, calls, and emails for the Executive Director with professionalism and confidentiality.
Office Administration
- Support general office operations, including supply management and vendor relationships.
- Ensure proper organization of physical and digital records for easy accessibility.
- Coordinate logistics for staff and board meetings, including preparing meeting minutes.
Communication & Outreach
- Assist in the preparation of letters, newsletters, mailings, and outreach materials.
- Support the dissemination of information to board members, donors, and community partners.
Data & Reporting
- Maintain accurate organizational data, including donor and program records.
- Assist in the preparation of grant applications, progress reports, and end-of-year summaries.
- Track and report program outcomes and organizational metrics as directed.
Special Projects
- Provide support for organizational events, fundraising campaigns, and other special initiatives.
- Collaborate with other staff members to achieve strategic goals.
Qualifications:
- Associate’s degree required; Bachelor’s degree preferred in business administration, nonprofit management, or a related field.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with attention to detail and the ability to manage multiple priorities.
- Excellent written, verbal, and interpersonal communication skills.
- A self-starter with the ability to work independently and collaboratively.

Reports To: Executive Director
Works With: Staff members, board members, community partners, and stakeholders.
Hours: Full-time, 40 hrs. per week. Time is primarily spent in an office setting with occasional attendance at community events or off-site meetings.
Job Type: Full-time
Pay: $19.00 - $21.00 per hour
