JOB DESCRIPTION
POSITION TITLE: Office Support/Receptionist Bilingual – English/Spanish (Confidential)
DEPARTMENT: Central Office Cost Center
REPORTS TO: Executive Secretary
Employment Status: Full-time
40 hours per week
Union Status: Non-Union
FLSA Status: Non-Exempt
SUMMARY: Under the Direct Supervision of the Executive Secretary, the Office Support/Receptionist is responsible for performing daily office tasks such as filing, recording, maintaining records, copying, posting, and other similar duties, using a computer terminal. Receives callers and visitors, provides them with information according to HACC procedures.
Services include interviewing in Spanish and English, identifying and evaluating client needs; client activity reporting; conducting client assessments and referring to appropriate resources. The person in this position reports to the Executive Secretary.
Demonstrate verbal and written fluency in Spanish and English is essential to perform the duties of the position to effectively communicate with our clients.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following but are not limited to the job specifications contained herein. Additional duties or job functions may be required as deemed necessary by supervisory personnel.
- Interview clients, as needed, to identify and evaluate their individual needs and provide responses to resident inquiries and or/concerns; resources are identified and acquired to assist residents and HACC officers; and accurate records are maintained.
- Handles and processes confidential information and documents relative to the Housing Authority Executive Director, Deputy Executive Director, and other Directors upon request.
- Serves visitors by greeting, welcoming, and directing them appropriately, professionally and courteously. Notifies Housing Authority personnel of visitor arrival, as well as all calls and correspondence received; maintains accurate and complete records and logs related to visitors, call and all correspondence received.
- Provides accurate informational assistance to visitors and residents relative to HACC procedures and programs in person, by telephone, and/or by electronic communication in a timely manner.
- Maintains safe and clean reception area by complying with procedures, rules, and regulations. Maintain and assist with office supplies and purchasing of such supplies. Track inventory of office supplies and comply with procedures for replacing supplies.
- Composes and types correspondence. Drafts and checks form letters, circular letters and forms.
- Use a computer for online communication, spreadsheets, word processing, database management, and other software applications.
- Maintains essential record and files. Stamps letters, papers, and other documents. Sorts, scans, copies, and files, cards, letters, forms, and other documents.
- Answers the telephone and takes messages professionally, courteously and accurately.
- Assists in locating and compiling data for reports.

KNOWLEDGE AND SKILLS REQUIREMENTS:
- Ability to speak, read, write, and understand English and Spanish proficiently.
- Knowledge of the basic principles, commonly used concepts, and procedures within an office environment.
- Knowledge of office methods, practices, routines, and equipment.
- Ability to understand and carry out oral and written directions.
- Ability to use and care for office machines and equipment.
- Ability to maintain records and files.
- Ability to receive directions and instructions and pre-established guidelines to perform the functions of the job.
- Proficiency with the use of the Microsoft Office suite software system.
- Other duties as assigned.
MINIMUM TRAINING AND EXPERIENCE: Possession of a High School Diploma or equivalent; and two years of experience in an office environment.
ADDITIONAL REQUIREMENTS: An acceptable general background check to include a local and state criminal history check and a valid driver's license with an acceptable driving record.
SUPERVISORY RESPONSIBILITIES: None.
REASONING ABILITY: Ability to apply common sense understanding to carry out detailed and involved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
