What are the responsibilities and job description for the Legal Assistant position at Housing Authority of the City of Los Angeles?
Characteristics of the Class: Under general direction of the General Counsel and Legal Department staff, provides a wide variety of clerical and confidential administrative support to the Legal Department. Prepares and disseminates information, reports, and general correspondence for the Legal Department. Assists in the processing and tracking of legal documents, records, correspondence, and other specialized legal clerical work. The Legal Assistant establishes and maintains effective working relationships with officials, community groups, and other private and public agencies.
Examples of Essential Functions:- Performs general office duties, including opening and routing incoming Legal Department mail, screening telephone calls, and receiving office visitors;
- Secures information on the status of pending matters;
- Schedules appointments (including court appointments), meetings, speaking engagements, and travel arrangements for the Legal Department;
- Routes calls from the public and provides information with discretion and in accordance with established policies on confidentiality;
- Contacts attorneys, judges, courts clerks, witnesses, law enforcement, medical representatives, department heads, and other government agencies to obtain or confirm information, maintain files, or update calendars;
- Types from drafts, notes, oral instructions, or recordings;
- As needed, assists in the preparation of the Board of Commissioners and committees’ agendas;
- Prepares background material for agenda items and assists Board meetings and annual plan hearings;
- Participates and assists in the administration of the Legal Department by reviewing, analyzing, and making recommendations concerning a variety of issues and programs;
- Compiles and organizes information for use by Legal Department staff in the completion of various reports, recommendations, and special projects;
- Responds to complaints and inquiries from community groups, residents, and other public and private agencies, including but not limited to those related to unlawful detainer actions, and refers inquiries as appropriate;
- Under the direction of Legal Department staff, drafts and edits letters, reports, memoranda, agreements, contracts, court documents, presentations, forms, and general correspondence for the Legal Department;
- Responds to routine letters and general correspondence;
- Assembles and routes documents for financial, development, and real estate closings;
- Organizes and maintains Legal Department manuals, correspondence, legal documents, office files, records, and indexing system;
- Reviews file documents for completeness and helps ensure compliance with the Housing Authority’s records retention practices;
- Gathers and maintains background materials as related to the Housing Authority;
- Assists with department budget administration, reviews, and routes department invoices, and manages office supplies, subscriptions, and memberships;
- Under the direction of Legal Department staff, disseminates federal and state information and materials to appropriate staff; and
- Performs other related duties as may be assigned.
High school graduation or equivalent -AND- three (3) years of complex clerical or administrative experience, preferably in a public or private law office environment -OR- a bachelor’s degree from an accredited college -OR- and equivalent combination of education and experience.
