Summary
The primary purpose of this position is to assist Site Managers with customer service as well as administrative operations at HACP-operated sites. The incumbent will handle resident complaints and work order requests, complete data entry and processing to ensure leasing and recertification packages are completed, and perform daily office tasks.
All activities must support the Housing Authority of the City of Pittsburgh ("HACP" or "Authority") mission, strategic goals and objectives.
Essential Duties and Responsibilities
The position duties and responsibilities listed below describe the general nature and scope of work. Other responsibilities, duties and skills may be required and assigned, as needed.
- Performs major customer service by : receiving resident in the department's reception area, answering residents' questions and handling requests, and directing residents to the proper staff member if needed.
- Performs administrative work, such as filing, data entry, ordering supplies, and providing support to Site Managers on an as needed basis.
- Ensures that departmental payroll information is accurate; corrects any discrepancies; submits payroll to Finance department.
- Enters data into leasing packages; mails package to resident; upon return, ensures that all information is properly filled out; processes leasing packages.
- Answers residents' maintenance calls; prints work order tickets; closes work order upon satisfactory completion of work.
- Alerts residents to upcoming inspections; prepares inspection booklets for Site Manager to use in verification of the inspection process; records the results of each inspection.
- Prepares recertification packages; assists Site Manager in verifying that each package is completely and accurately filled out; processes recertification packages.
- Calls agencies on behalf of residents who seek assistance in paying rent; verifies benefits with Department of Welfare for residents as requested.
- Performs other duties as assigned.
Education and / or Experience
High School Diploma or GED Equivalent supplemented by two (2) years' experience in an administrative role.
Technical Skills
To perform this job successfully, the employee should have strong computer skills (MS Word, Excel, and Outlook). Must have the ability to learn other computer software programs as required by assigned tasks.

To perform this job successfully, the employee is frequently required to remain in a stationary position. Employees must have access to 24 hour reliable internet service. Employees must also have reliable transportation to and from work, as well as, to get to and from multiple HACP locations based on business needs and assignments.
